Assistant Facilities Manager (m/f/d)

What this job involves: We are seeking an Office Services Coordinator for our Integrated Facility Management business line. As an Assistant Facilities Manager, you will report to the Facilities Manager and work as part of the overall Facilities Team to manage a range of soft services and provide necessary support to ensure efficient and effective running of the site. This role involves managing first-line soft services across multiple operational areas while maintaining the highest standards of customer service and operational excellence, directly contributing to JLL's mission of helping organizations achieve their ambitions through exceptional real estate services and facility management solutions.

What your day-to-day will look like:

  • Manage teams providing first-line soft services including reception, mail operations, meeting & events, cleaning, waste & recycling, and vending & food services
  • Monitor and maintain office equipment and supplies while managing regular contact and meetings with relevant vendors
  • Manage Trouble Ticket (Remedy) requests through helpdesk interface with internal customers, actioning queries promptly per service level agreements
  • Conduct weekly walk-rounds with vendor cleaning managers to ensure cleaning quality standards are maintained across all areas
  • Manage daily health & safety issues including scheduled meetings, fire drills, safety equipment maintenance, and training records
  • Monitor facility services budgets, track expenses against allocated budgets, and prepare monthly cost reports for management review
  • Organize internal and external client events while managing quality of conferencing facilities and food service operations.

Required Qualifications:

  • Knowledge of Facilities/Office Services Coordinator role with demonstrated experience in facility management operations
  • Previous experience working within high-profile corporate environment with understanding of professional service standards
  • Previous reception or hospitality experience with customer-focused approach and excellent interpersonal skills
  • Diploma/degree level education with strong problem-solving skills and good decision-making capabilities
  • Excellent written and verbal communication skills with spreadsheet and word processing proficiency
  • Attention to detail with assertive personality and ability to manage multiple priorities effectively
  • Experience managing vendor relationships and maintaining service level agreements
