Job Title: Virtual Assistant / Executive Assistant
I am looking for an experienced, reliable, and highly organized Virtual Assistant / Executive Assistant to support me in my role as a CEO and father of two kids. Your main responsibility will be to help me manage a wide range of organizational and administrative tasks, both professional and private. This includes coordinating day-to-day operations, handling small projects, and taking ownership of tasks wherever possible to reduce my workload.
The ideal candidate should be proactive, detail-oriented, and capable of working independently with minimal supervision. You should be comfortable communicating in English and have at least a basic working knowledge of German to handle occasional phone calls/ managing letters or tasks requiring the German language.
This role is similar to that of a classical CEO assistant and requires a high level of professionalism, discretion, and flexibility.
Key Responsibilities:
- Manage daily administrative and organizational tasks for both private and business matters.
- Coordinate schedules, appointments, and reminders.
- Assist with planning and managing small projects independently.
- Handle email communication, draft responses, and prepare reports when needed.
- Conduct occasional phone calls in German (basic conversational skills are sufficient).
- Support with document creation, formatting, and editing in Microsoft Office (Word, Excel, PowerPoint).
- Perform research tasks and summarize findings in a clear and structured way.
- Assist in preparing presentations, reports, and meeting notes.
- Help with ad-hoc personal tasks and errands when needed.
Requirements:
- Proven experience as a Virtual Assistant, Executive Assistant, or similar role supporting C-level executives.
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is mandatory.
- At least basic conversational German skills (B1 level or similar).
- Excellent written and verbal communication skills in English (German proficiency is a plus).
- Ability to work independently, proactively, and with a high level of responsibility.
- Professional, discreet, and trustworthy – you will handle sensitive business and personal information.
- Fast learner and able to adapt quickly to changing priorities and tasks.
Workload & Availability:
- Estimated 4 to 10 hours per week depending on workload and your availability.
- Flexible schedule – tasks can often be completed asynchronously, but occasional real-time communication may be required.
- Long-term collaboration is preferred of at least 6 months
- Im would prefer to work with Trello, Dropbox and MS Office environment
