    Job Description

    Project Overview

    We are an architecture and real estate development team responding to four public-sector RFPs for land disposition. We need an experienced consultant to design, assemble, and quality-control four polished, consistent proposal packages in Adobe InDesign (or similar), using a single master template across all four, with site-specific content swapped in per package. Each response will be 30–50 pages. We will supply all raw content (site info, renderings, plans, narratives, team bios, etc.); you will be responsible for template design, layout, graphics, copy review/light editing, and complete packaging to final, compliant PDFs.


    Hard Deadline

    October 7, 2025, 12:00 pm EST for final delivery of all four PDF packages.


    Contract, Budget, and Key Dates

    • Fixed fee: $10,000 total, paid in thirds at milestones
    • Contract award: September 1, 2025
    • Upwork proposal due: August 27, 2025, 5:00 pm EST
    • Milestone Review 1 (33% payment): September 13, 2025, 12:00 pm EST
    • Milestone Review 2 (33% payment): September 25, 2025, 12:00 pm EST
    • Final delivery (34% payment): October 7, 2025, 12:00 pm EST

    Note: Milestone dates are evenly spaced from award to final deadline. We will hold a kickoff on September 2, 2025.


    Scope of Work

    • Template and visual system:
      • Create one cohesive, professional InDesign template suitable for public-sector architectural proposals.
      • Define typography, color, grids, master pages, section dividers, tables, TOC, styles, and iconography.
      • Adaptable cover/section treatments per site while maintaining a unified look and feel.

    • Content intake and organization:
      • Build a clear content map and compliance matrix per RFP.
      • Organize provided content (text, plans, renderings, charts, resumes, org charts, schedules) into logical sections.

    • Layout and production:
      • Assemble four complete 30–50 page packages in InDesign using the shared template.
      • Create or refine diagrams, infographics, process graphics, timelines, maps, and callouts as needed.
      • Retouch/optimize imagery and drawings for clarity and file size; convert CAD/PDF plan content to presentation-ready graphics.
      • Generate functional TOC, page numbering, cross-references, and internal links.
      • Ensure consistency across all four packages (styles, spacing, captions, figure numbering).

    • Copy review and light editing:
      • Proofread and copyedit for grammar, clarity, and tone (no ghostwriting required, but improve flow, headlines, subheads, captions, and pull quotes).
      • Ensure language is professional and aligned to public-sector audiences.

    • Compliance and quality control:
      • Ensure each package meets RFP instructions (sequence, content, page limits, submission specs).
      • Conduct thorough QA for typos, broken links, missing figures, and layout issues.
      • Produce both print-ready and web-optimized PDFs, following file size constraints if specified.
      • Strongly preferred: tagged/accessible PDFs (Section 508/ADA) including bookmarks and basic structure.

    • Delivery and packaging:
      • Deliver separate final PDFs for each of the four RFPs to our shared OneDrive.
      • Provide packaged editable files for each RFP (InDesign .indd with linked assets, or equivalent).
      • Provide a brief handoff note summarizing file structure, fonts, and any RFP-specific nuances.

    What We Provide

    • All core content: site information, renderings, plans, tables, resumes, team org, developer profile, relevant experience/project sheets, and narrative drafts.
    • RFP documents and submission instructions; any required forms.
    • Brand inputs (if available). If not, you will propose a suitable look appropriate for civic/architectural work.
    • Centralized OneDrive folder for assets and version control.

    Deliverables

    • One unified InDesign template and style guide (internal use).
    • Four complete RFP response packages (30–50 pages each), each delivered as:
      • Final print-ready PDF and web-optimized PDF.
      • Packaged InDesign files (or equivalent), including links and paragraph/character styles.
      • Completed compliance checklist per RFP.
    • Optional but preferred: Accessible-tagged PDFs with bookmarks and alt text.

    Schedule and Workflow

    • Aug 27: Proposals due on Upwork by 5:00 pm EST.
    • Aug 28–29: Shortlist interviews.
    • Sep 1: Award; access to OneDrive and source content.
    • Sep 2: Kickoff meeting; confirm template direction, content plan, and RFP compliance matrices.
    • Sep 1–5: Template design; content mapping; asset audit.
    • Sep 6–12: Draft 1 assembly for all four packages; core sections roughed in; initial graphics.
    • Sep 13: Milestone Review 1 (33% payment) — template approved; skeletons of all four books; 40–60% content placed.
    • Sep 14–24: Draft 2 assembly; near-final layout and graphics; copyedit pass; compliance checks.
    • Sep 25: Milestone Review 2 (33% payment) — 90% complete books; consolidated client edits captured.
    • Sep 26–Oct 6: Final edits, QA, accessibility, exports, and packaging.
    • Oct 7, 12:00 pm EST: Final PDFs delivered to OneDrive; packaged files provided.

    Meetings and Communication

    • Weekly 30–45 minute status calls during the project (EST business hours).
    • Rapid-turn Slack/Teams/Upwork messages for day-to-day questions.
    • Use our OneDrive for all file exchange; maintain clear version naming conventions.

    Qualifications

    • Proven track record producing winning proposal packages for public-sector work (municipal, state, or related), with a focus on architecture, planning, and/or real estate development.
    • Strong portfolio of architectural/urban design presentations and RFP/RFQ submissions.
    • Expert in Adobe InDesign; strong Illustrator and Photoshop skills for diagrams and image prep.
    • Fluency in English (written and spoken); outstanding typography and editorial sensibility.
    • Strong information design and visual hierarchy; ability to clarify complex content.
    • Familiarity with compliance-driven deliverables and submission specs (page limits, forms, appendices).
    • Preferred: experience delivering accessible/tagged PDFs for public-sector submissions.

    Proposal Requirements (due Aug 27, 2025, 5:00 pm EST)

    • Three relevant work samples of proposal packages or architectural presentations (PDFs or links).
    • Three professional references with contact information.
    • Brief approach (1–2 pages) describing:
      • Your template and production process for multi-book projects.
      • How you will ensure consistency and compliance across four packages.
      • Your team composition and who does what.
      • A risk/mitigation plan to protect the Oct 7 deadline.
    • Confirmation of:
      • Availability from Sep 1 through Oct 7 and ability to meet all milestone dates.
      • Primary tools (InDesign, Illustrator, Photoshop) and capability to produce accessible PDFs.
      • English fluency and experience with public-sector RFPs.
    • Pricing and terms:
      • Acknowledgement of fixed-fee $10,000 in three milestone payments as defined.
      • Your blended hourly rate for any out-of-scope additions (only with prior written approval).

    Acceptance Criteria

    • Each package adheres to its RFP instructions and page limits.
    • Professional, consistent template and typography across all four packages.
    • Clean copy free of typos; logical structure and navigation; functional TOC and links.
    • Final PDFs meet any file size and submission requirements; accessible tagging if requested.
    • All source files provided and organized; all fonts and assets are licensed and documented.

    Revisions

    Expect up to two rounds of consolidated client edits per package at each review stage (Review 1 and Review 2), plus a final proof pass prior to delivery. Please indicate if your proposal assumes a different revision structure.


    IP, Licensing, and Confidentiality

    • All work product and design files are work-for-hire and will be our property upon payment.
    • Use only licensed fonts and imagery; prefer Adobe Fonts and royalty-free assets; document any third-party licenses.
    • NDA may be required; project materials are confidential and may not be shared publicly without permission.
