The Role
We are seeking a bright and highly organised team member to support the People Team. We are looking for someone with a keen eye for detail who lives and breathes quality at the highest level. If you thrive in a fast-paced, time-critical environment, this is the job for you.
We have identified the need for an additional resource to support People Operations in Germany and Switzerland. This role will manage all People Operations matters for both countries, while also contributing to broader EMEA initiatives and projects. The person will be embedded within the local teams, serving as the go-to contact for all first-line queries. They will ensure that operational procedures, systems, and processes are aligned with the People team’s objectives and the firm’s commitment to operational excellence.
Key Accountabilities
- Build and maintain strong, credible working relationships to support stakeholders across Germany and the People Team.
- Manage local employee relations and staff exits.
- Provide daily support to ensure the effective operation of the HR management system (Workday).
- Accurately manage HR data entry and auditing for new hires, rehires, terminations, salary adjustments, transfers, and other employee changes.
- Prepare and administer employment-related documentation, including offer letters, contracts, addenda, and updates, while maintaining accurate records in Workday and other databases.
- Provide general administrative support to the People Operations team under the supervision of the People Operations Manager.
- Oversee new hire processes, including right-to-work checks and background screening through third-party providers.
- Manage invoice reconciliation for the team.
- Draft and respond to routine correspondence (e.g., reference letters) in line with established procedures.
- Monitor HR inboxes, respond to employee inquiries, and escalate where necessary.
- Support the L&D team with induction and training sessions.
- Maintain accurate electronic filing of all relevant documents.
- Provide administrative support for HR projects and BAU activities.
- Coordinate logistics for HR events and seminars (e.g., catering, room setup).
- Manage compliance processes and initiatives across Germany, including migration compliance, work permits, and visas
Skills and Experience
- Fluent in German and English;
- Very good employment law knowledge and application;
- Excellent communication skills, both oral and written;
- Excellent computer skills using Microsoft Office Suite;
- High ethical standards, integrity, and adherence to confidentiality;
- Must be detail orientated;
- Excellent time management; ability to handle multiple tasks in a fast-paced environment;
- Willingness to take initiative and ownership of projects;
- Previous experience in a HR / People Operations role in Corporate environments;
- Previous experience in WorkDay (HRIS) is ideal.
