    Document Management Specialist - Logistics (m/w/d)

    The Document Management Logistics Worker is responsible for the physical and logistical handling of documents throughout the company's document management process. This includes the secure transportation, organization, and storage of both physical and electronic records. The role ensures that all documents are managed in accordance with established procedures, regulatory requirements, and company standards. The Document Management Logistics Worker plays a key role in maintaining the flow of documents across departments and ensuring they are safely and efficiently stored or delivered as needed.


    Key Responsibilities
    • Document Transportation and Handling:
      • Safely transport documents between various departments and storage facilities, ensuring they are handled securely and efficiently.
      • Manage the receipt and delivery of documents, tracking them to ensure proper accountability and documentation throughout the process.
      • Utilize appropriate equipment and techniques to handle large volumes of documents, including sensitive or confidential materials.

    • Document Storage and Organization:
      • Organize physical documents for storage, ensuring they are properly sorted, labeled, and archived in accordance with company protocols.
      • Maintain storage areas, ensuring documents are stored in a safe, accessible, and compliant manner.
      • Assist in setting up and maintaining electronic tracking systems for document storage and retrieval.

    • Logistics Coordination and Workflow Management:
      • Coordinate document flow between departments, ensuring timely delivery and retrieval of documents for scanning, processing, or review.
      • Monitor document storage capacities and assist in the organization of off-site storage when necessary.
      • Track and log all document movements, maintaining an accurate and up-to-date inventory of documents in storage or transit.

    • Quality Assurance and Compliance:
      • Ensure that all documents are handled in accordance with data protection laws and company security policies, safeguarding sensitive information at all times.
      • Conduct regular checks on document conditions, ensuring that documents remain intact and properly stored.
      • Assist with audits of document storage and retrieval processes to ensure compliance with regulatory requirements.

    • Process Improvement and Efficiency:
      • Identify ways to improve the efficiency of document logistics, suggesting adjustments to procedures to optimize document flow and storage capacity.
      • Assist with the implementation of new technologies or systems that enhance document tracking, storage, and retrieval.
      • Work closely with other teams to ensure logistics operations align with overall document management strategies.

    Requirements
    • Ability to lift boxes up to 25kg
    • Class B driving license - valid in Germany (mandatory!)
    • Police certificate of good conduct (Polizeiliches Führungszeugnis)
