Overview

juicymind Beteiligungs GmbH is looking for a reliable, discreet, and highly organized Administrative Assistant to support its Managing Director in daily business and everyday matters. juicymind is a small, private holding company that pursues various projects and holds shares in several businesses. The Managing Director also serves as Managing Director of the subsidiary companies.

A portion of your working time will therefore be dedicated not only to internal organization, but also to supporting the subsidiaries (especially MegaDev GmbH) in the areas of Administration/Operations and People & Culture (HR administration).

This role is a great fit for you if you enjoy organizing, keeping an overview, following up on tasks, documenting clearly, and genuinely like helping others stay focused—pragmatic, without “corporate overhead,” but with clear responsibility.

DEINE AUFGABEN

YOUR RESPONSIBILITIES

1) CEO Support (juicymind and its subsidiaries, especially MegaDev GmbH)

  • You coordinate calendars and appointments and help set priorities sensibly.
  • You organize travel and meetings (planning, bookings, preparation and follow-up).
  • You handle correspondence (DE/EN) and maintain structured filing and documentation.
  • You create and format straightforward documents (e.g., agendas, minutes, overviews, presentation drafts).
  • You coordinate with internal stakeholders and external service providers.

2) Private & Business Organization (as agreed)

  • You organize and take care of selected private and business errands.
  • You coordinate appointments with service providers and tradespeople and reliably follow up on agreements.
  • You occasionally run errands/drives within the Munich area (Class B driver’s license required).
  • When needed, you interact with children in the Managing Director’s environment in a friendly, confident, and respectful manner.

3) Administration & Operations (partly for MegaDev GmbH)

  • You support office management (orders, vendor coordination, scheduling, general admin topics).
  • You assist with day-to-day preparatory accounting tasks (receipts, collecting/checking invoices, filing, coordination/support for the tax advisor/accounting).
  • You maintain lists, overviews, and simple reports and ensure everything stays well-structured.

4) People & Culture Support (HR administration, partly for MegaDev GmbH)

  • You provide administrative support across the employee lifecycle (on-/offboarding organization, documents, confirmations, scheduling).
  • You maintain personnel documents and master data (e.g., in HR tools) and keep track of deadlines and to-dos.
  • You help with recruiting organization (interview coordination, candidate communications, scheduling).

5) Tools & Digital Way of Working

  • You work confidently with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, OneDrive/SharePoint).
  • You’re open to using AI tools (e.g., ChatGPT) to make texts, summaries, and admin tasks more efficient.

DEIN PROFIL

  • Du bist super organisiert, sorgfältig und zuverlässig (Du denkst einen Schritt voraus und hältst Aufgaben und Absprachen sauber nach).
  • Du kommunizierst freundlich, klar und lösungsorientiert – intern wie extern.
  • Du sprichst sehr gut Deutsch und gutes Englisch.
  • Du hast solide Kenntnisse in Microsoft 365, vor allem Outlook & Teams (Excel/PowerPoint sind ein Plus).
  • Erfahrung in Assistenz/Office/HR-Admin ist ein Plus – wichtiger sind Struktur, Eigeninitiative und Hands-on-Mentalität.
  • Du hast einen Führerschein Klasse B und bist bei Bedarf im Raum München flexibel unterwegs.

  • Du gehst absolut vertraulich mit sensiblen Informationen um.
  • Du arbeitest eigenverantwortlich, loyal und verlässlich – gerade dann, wenn es schnell geht oder es diskret sein muss.

YOUR PROFILE

  • You’re highly organized, detail-oriented, and reliable (you stay one step ahead and make sure tasks and agreements are followed through).
  • You communicate in a friendly, clear, and solution-oriented way—internally and externally.
  • You speak German very well and have good English skills.
  • You have solid Microsoft 365 skills, especially Outlook & Teams (Excel/PowerPoint are a plus).
  • Experience in assistant/office/HR admin roles is a plus—more important are structure, ownership, and a hands-on mindset.
  • You hold a Class B driver’s license and can be flexible within the Munich area when needed.

Trust & Discretion

  • You handle sensitive information with absolute confidentiality.
  • You work independently, loyally, and reliably—especially when things move fast or require discretion.
