Administrative Services Assistant

We are hiring an Administrative & Customer Service Assistant to support a growing German office within the medical device sector. This is a hands‑on, varied role combining office administration, customer communication, and event/logistics support, working closely with an international team and medical professionals.

This position is ideal for someone early in their career, a working student, or a junior professional looking to gain practical experience in a regulated healthcare environment.

Salary = €30,000.00‑€35,000.00 per annum

30 hours per week

What you will be responsible for

Office & Administration

  • Managing the shared email inbox and routing enquiries to the right contacts
  • Maintaining databases and supporting daily office organisation
  • Filing and structuring documents to ensure clear and accessible records
  • Providing general administrative support to the team

Customer Service

  • Telephone and written support for customers and patients (German & English)
  • Documenting customer requests and ensuring smooth internal communication
  • Preparing and sending offers to patients
  • Entering offline orders into internal systems
  • Organising the collection and return of rental devices

Events & Logistics

  • Organising hotel bookings and airport transfers for guests
  • Preparing and providing marketing materials for meetings and events

What we are looking for

  • Fluent German and English (written and spoken)
  • Italian language skills are a strong advantage
  • Confident user of MS Office (Word, Excel, PowerPoint)
  • Strong organisational skills and ability to work independently
  • Friendly, clear communicator who is comfortable speaking with customers
  • Ongoing studies or initial professional experience are both welcome
