Position Summary
We are seeking a proactive, organized, and relationship-driven Association Manager based in Europe—preferably in Germany, Spain, or Italy . The ideal candidate will serve as the primary point of contact for one or more associations managed by IA-Meetings. This role involves overseeing day-to-day operations, supporting Board governance, managing membership activities, coordinating events, and ensuring high-quality service delivery.
Key Responsibilities
Governance & Board Support
- Serve as the focal point between the association’s Board of Directors, committees, and IA-Meetings.
- Prepare agendas, briefing notes, and documentation for Board and committee meetings.
- Draft and maintain meeting minutes, resolutions, and action trackers.
- Ensure compliance with association bylaws, policies, and governance procedures.
Membership Management
- Oversee the full membership cycle: onboarding, renewals, invoicing, and database management.
- Engage with members, respond to queries, and ensure timely support.
- Coordinate membership drives, surveys, and retention initiatives.
- Maintain accurate and updated membership records in CRM systems.
Communications & Outreach
- Manage communication channels including newsletters, website updates, social media, and email campaigns.
- Develop content in alignment with the association’s objectives and branding.
- Support the promotion of conferences, educational programs, and membership benefits.
- Liaise with stakeholders, partners, sponsors, and external agencies.
Event & Program Coordination
- Support planning, logistics, and delivery of conferences, workshops, webinars, and annual meetings.
- Coordinate speaker communication, registrations, program schedules, and technical needs.
- Work closely with IA-Meetings’ Events & Operations team for seamless execution.
Financial Administration
- Assist with budgeting, invoicing, expense tracking, and financial reporting.
- Work with accountants and auditors to ensure accurate compliance and documentation.
- Support sponsorship and grant management activities as needed.
Operational Management
- Maintain association documents, records, policies, and digital assets.
- Work with tech platforms for website management, LMS, CRM, and virtual meeting tools.
- Implement workflows to improve operational efficiency.
Qualifications & Skills
Essential
- Based in Germany, Spain, or Italy (or with strong familiarity and ability to work in these markets).
- Native-level proficiency in German, Spanish, or Italian , plus fluent English .
- Bachelor’s degree in business, Communications, Management, or a relevant field.
- Minimum 3–8 years of experience in association management, nonprofit administration, events, or related roles.
- Strong project management and multitasking abilities.
- Excellent written and verbal communication skills.
- High degree of professionalism, discretion, and client-service orientation.
- Ability to work independently in a remote environment.
Preferred
- Experience working with international associations or scientific/medical societies.
- Familiarity with CRM/member management software.
- Understanding of governance processes and nonprofit compliance.
- Experience with virtual event platforms and digital communication tools.
Work Environment
