About The Opportunity
Our Building Operations team is an integral part of our business with the mission to enable our members to create their life’s work. As a Facilities Operations Manager based in Berlin you’ll be responsible and accountable for the ownership and management of operational standards, budget, KPIs & NPS scores in your allocated portfolio. You will have a proactive approach to operational standards, safety, communication and cost management. The portfolio and number of buildings may vary to meet business needs.
Responsibilities
- Vendor and landlord management — Attend MBR/QBR meetings with business selected vendors, review performance, footfall, ticket completion, and budget vs spend.
- Review and manage the PPM planners to ensure legal compliance and document management policy adherence; ensure corrective actions are completed in a timely manner (preferably on vendor CAFM system).
- Support the Facilities Contract Manager with the management of service contracts and agreed SLAs within all hard and soft services.
- Own Salesforce tickets for your portfolio, ensuring reactive tickets are managed within the allocated SLAs.
- Communicate forecasted changes to layouts, footfall, and standards with vendors to prevent disruption to members and NPS.
- Own Property and Landlord management including communication, CAM charges review and escalation.
Community Support & Communication
- Support the Community Team with management of 3rd party vendors to push building standards and drive operational excellence and vendor performance.
- Collaborate with the Community Team on continuous improvement of the NPS and recovery plans where targets are not met.
- Provide first-class support for the Community Team, responding to requests in a structured and supportive manner.
- Ensure clear lines of communication with the Community Managers regarding applicable projects.
- Work closely with Community Teams in each building to proactively resolve trending or common issues.
Finance
- Work with the Operations Director to ensure accurate budgeting and forecasting of Capital Expenditure.
- Manage and control the Operational Expenditure budgets for your portfolio; accountable for all spend within this portfolio.
- Provide a detailed monthly review of spend vs budget and P&L in MBR presentations.
- Provide budgeting & forecasting of the Opex cost lines for your portfolio to the Operations Director.
- Manage costs and supplies with vendors.
- Raise Purchase Orders, Change Orders, and invoice approvals.
Compliance
- Conduct a minimum of 2-3 operational audits in each of your buildings annually; own all actions and complete within deadlines.
- Work closely with the territory H&S Manager to drive portfolio and business compliance.
- Take a proactive approach to your own development in line with H&S.
- Plan, attend and own actions for FRA & H&S audits.
- Plan and attend Fire Drills, owning follow-up actions within the deadline.
- Check contractor reports to ensure compliance with Life Safety Systems.
- Collaborate with Lift Consultants on lift life expectancy, condition reports, maintenance & vendor performance.
- Coordinate with Fire Consultants on all relevant compliance requirements.
About You
- University-level degree in Facility Management, Project Management or related field.
- At least 5 years of experience in facilities or property operations, ideally across multiple buildings. Experience in coworking, commercial real estate, hospitality, or multi-site retail is highly valued.
- Ability to manage a portfolio of several properties, balancing daily operational needs with long-term planning.
- Solid understanding of German building, fire safety, and workplace safety regulations; ideally IOSH or NEBOSH (or equivalent) certification.
- Experience managing Opex and Capex budgets, with proven ability to forecast, control costs, and deliver savings while maintaining quality.
- Experience managing outsourced service providers, negotiating contracts, and holding vendors accountable to KPIs and SLAs.
- Effective communication in German and English; ability to coordinate between landlords, vendors, internal teams, and senior management.
- Thrives in a fast-paced environment, stays on top of multiple priorities, and takes a hands-on approach to problem-solving.
- Understands that facility operations affect the member experience and aims to maintain high standards that improve satisfaction and NPS.
- Comfortable managing emergencies and adapting to the dynamic needs of a coworking environment.
