About the role

Our client is looking for a detail-oriented and proactive Junior Administrative Operations (m/f/d) to support their Workplace Solutions Team. In this role, you will be responsible for a wide range of administrative and operational tasks, ensuring smooth internal processes, timely approvals, and accurate financial follow-up. You will collaborate closely with internal teams, accounting, and external service providers within a diverse, energetic and international team environment.

Work tasks

This position primarily focuses on financial operations (80%) and various ad-hoc tasks (20%), ensuring smooth internal processes and compliance. You will manage payment requests, track invoices, support budget creation, and collaborate with the Accounting team.

  • Follow up on invoice payment status and escalate issues when necessary
  • Support budget creation and prepare the accruals list for month-end closing in cooperation with team members
  • Support in monitoring weekly payment status and manage monthly direct debit clearings
  • Provide audit support related to Workplace Solutions costs & ensure compliance with company standards and policies
  • Support regular follow up of assets (e.g. mobile SIM/eSIM, canteen cards, etc.) and handle cost center splits

We are looking for

  • Experience in administrative, operational, or financial support roles (up to 2 years)
  • Proficiency with Microsoft Excel (including Pivot Tables and Microsoft Office Suite)
  • Strong attention to details and ability to manage multiple ongoing tasks
  • Good communication and stakeholder management skills
  • High sense of urgency and readiness to manage ad hoc requests
  • Fluent English, both written and spoken as well as Good knowledge of German, both written and spoken
