In this role, you will be a full member of the office community, working alongside engineers, designers, marketers, and colleagues from other teams. You will support your colleagues and manage daily office operations, ensuring the workplace runs smoothly and efficiently. This role includes administrative tasks, reception responsibilities, and coordination with various departments to support staff and visitors.

In this role you will:

  • Carry out everyday administrative tasks, collaborating closely with other employees.
  • Provide effective support as the primary point of contact for office-related and other employee queries, and report any issues as needed.
  • Perform all reception-related tasks, including handling incoming and outgoing mail and electronic correspondence, answering and forwarding calls, updating paperwork, maintaining documents, and greeting clients and visitors.
  • Order and manage office supplies and equipment.
  • Coordinate and organize meetings, conference calls, and office events.
  • Communicate and coordinate with external service providers, vendors, and local authorities.
  • Assist with onboarding and offboarding processes.

We'd love to have you on our team if you have:

  • Experience as an office assistant in an international business environment.
  • Professional proficiency in English and German, both spoken and written.
  • A service-oriented mindset, with a warm personality and strong communication skills.
  • Proficiency with Microsoft Office and Google Workspace.
  • Strong organizational, multitasking, and problem-solving abilities.
  • The ability to prioritize tasks and work both independently and collaboratively.
