We are looking for anOffice Manager (all genders) who takes ownership of our office operations in Frankfurt and creates the foundation for an environment wherecreativity, technology and innovation can thrive. LIGANOVA HORIZON is a digital experience agency for international brands and part of the LIGANOVA GROUP. We create digital experiences, campaigns and visual systems at the intersection ofcreative excellence, technological innovation and strategic thinking . To enable our creative, technological and strategic teams to perform at their best, we rely on clear structures, reliable processes and an office that acts as a central hub. As Office Manager, you are the organizational backbone of our agency. You ensure that daily operations run smoothly, communication flows clearly and our working environment remains efficient, structured and welcoming.

WHAT YOU DO

  • Organize, coordinate and continuously improve daily office operations
  • Act as the central point of contact for internal and external communication (in person, by phone and email)
  • Plan, prepare and coordinate meetings, workshops and internal events
  • Support travel planning, scheduling and room coordination
  • Manage office supplies, equipment and work resources, ensuring availability at all times
  • Coordinate external service providers, vendors and partners
  • Work closely with HR, Finance, IT and Project Management to support smooth internal processes
  • Support onboarding processes and administrative HR-related tasks
  • Maintain documents, filing systems and organizational structures
  • Contribute to the optimization of office and administrative workflows
  • Ensure a professional, structured and welcoming working environment

WHO YOU ARE

  • Professional experience in office management, administration or a comparable assistant role
  • Strong organizational skills with a structured, reliable and independent working style
  • Excellent communication skills in German and English
  • Service-oriented mindset, discretion and a high sense of responsibility
  • Confident handling of common office tools (e.g. MS Office, Outlook) and openness to learning new digital tools
  • Ability to prioritize tasks and stay calm and solution-oriented in busy situations
  • Enjoy working in a team and actively contributing to a positive agency culture
  • Experience in an agency or project-based environment is a plus, but not required
