Paralegal / Legal Operations (all genders)(EN)

We are looking for a full‑time , permanent Paralegal / Legal Operations (all genders) to start as soon as possible. Remote‑first, with the flexibility to work hybrid or on‑site depending on location. The Contabo Group is growing internationally, and we need a strong legal operations partner to bring structure across multiple entities and jurisdictions.

We will expect you to:

  • Establish and maintain a clear, future‑proof filing system for contracts and legal documents, structure digital records, and ensure easy accessibility over time.
  • Ensure reliable deadline tracking and create transparency around ongoing topics and responsibilities.
  • Support corporate housekeeping, maintain documentation and overviews, coordinate processes with notaries and external partners.
  • Administer insurance topics, track relevant matters, and maintain smooth communication with insurers and brokers.
  • Act as an interface within the Group, preparing documents and templates, supporting administrative processes, and ensuring clear information flow between Legal, internal stakeholders, and external partners.
  • Identify recurring patterns in day‑to‑day work and translate them into practical, standardised processes to improve efficiency and resilience.

Qualifications

  • A completed vocational training (e.g. paralegal, legal specialist) and 3‑7 years of practical experience in a law firm, in‑house legal department, or similar.
  • Solid experience in structured document and records management (physical and digital) with a strong understanding of formal legal documentation requirements.
  • Hands‑on experience in corporate housekeeping, particularly in handling corporate documentation and formal processes.
  • Strong understanding of workflows in legal departments or law firms, and the ability to quickly familiarize yourself with new topics and structures.
  • Structured, reliable, and self‑driven work approach, combined with strong organisational skills and forward thinking.
  • Very good German and English skills, both written and spoken.

Desired (but not required)

  • Experience with document management systems or comparable digital filing structures.
  • Exposure to the administrative handling of insurance‑related topics.
  • Initial experience in a comparable role within a company or a commercially oriented law firm.
