Role Overview

As a Personal Assistant you will provide comprehensive administrative support to two members of the Executive Management Team. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate will be a proactive problem solver with excellent communication skills and the ability to manage multiple priorities effectively.

What You Do

  • Administrative Support: Manage calendars, schedule meetings, and coordinate travel arrangements for the Executive Management Member.
  • Communication: Serve as the primary point of contact for internal and external communications related to Executive Management Member when it comes to meeting requests.
  • Meeting Coordination: Arrange and coordinate meetings. Ensure smooth execution of meetings when the Executive Management Member is onsite at the office, including setting up meeting rooms and coordinating logistics.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Office Management & Special Events: Support the efficient operation of the executive office and organize team events, dinners, and special occasions such as farewells and kick-off meetings or townhalls.
  • Relationship Management: Build and maintain strong relationships with internal and external stakeholders, representing the Executive Management Member’s office.

What You Bring

  • Proven experience as a Personal Assistant or similar role supporting senior executives.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and as part of a team.
  • Ability to anticipate needs in a dynamic environment.
  • High level of discretion and professionalism.
