  • No degree required – relevant training or experience in administrative assistance, office management, or project coordination
  • Experience in project administration or a related field is beneficial

Knowledge

  • Experience or background in project coordination or planning
  • Strong organizational and time management skills.
  • Excellent communication skills in English and Arabic (very good); German (good) for internal communication.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with project management tools (a plus).
  • Basic understanding of budgeting, invoice tracking, and contract administration.
  • Strong interpersonal skills for internal coordination and client communication.
  • Quick comprehension, independent work style, accuracy, and attention to detail
  • Cultural awareness and adaptability, especially in an international work environment.

Conditions

  • Part-time position (30 h/week) with a permanent contract
  • Hybrid work setup with 2 days presence at our head office in Rietz, Brandenburg an der Havel.

Supporting International Landscape Projects

bödeker has been a pioneer in landscape architecture for over 50 years, shaping urban environments in Saudi Arabia, particularly in Riyadh, through sustainable and innovative solutions. We manage high-profile private projects as well as major government initiatives, including the Tree Management Office (TMO) in support of Green Riyadh, one of the world’s most ambitious greening projects.

To further strengthen our operations, we are looking for a Project Administrative Coordinator (m/f/d) to support our international projects from our Head Office in Germany (Brandenburg an der Havel, OT Rietz). This role will ensure efficient project coordination, documentation, and communication while working closely with our global team.

Responsibilities

Project Coordination & Administration

  • Create and maintain project schedules, ensuring alignment with key deadlines.
  • Organize project meetings, prepare agendas, and document minutes for follow-ups.
  • Support project proposal preparation and assist in proposal reviews.
  • Assist project leaders in administrative tasks, ensuring efficient workflows.

Document & Data Management

  • Prepare and distribute project status reports for internal and external stakeholders.
  • Review Request for Proposals (RFPs) , summarize key points, and provide translations if needed.
  • Support contract administration by reviewing agreements with clients and freelance professionals.

Operational & Administrative Support

  • Utilize project management software for tracking progress and reporting.
  • Assist in organizing workshops, client meetings, and internal events.
  • Conduct basic research to support ongoing projects and office efficiency improvements.
