1. Role Overview
The position involves supporting the ongoing development and implementation of a large‑scale groupware platform used as a central collaboration environment across a broad user base. The role focuses on managing subprojects, ensuring alignment with overall program objectives, and maintaining high standards of quality, documentation, and coordination throughout all phases of delivery.
2. Responsibilities
The Project Manager is responsible for the coordination, planning, and execution of subprojects within the groupware platform program. Key tasks include:
Project Coordination & Planning
- Plan, manage, and execute assigned subprojects with a focus on groupware and collaboration technologies.
- Maintain and update project structures and schedules using MS Project, SharePoint, and Jira.
- Ensure accurate and up-to-date project documentation across all tools and repositories.
Project Controlling
- Monitor and control project timelines, milestones, requirements, deliverables, dependencies, and budgets.
- Manage risks, issues, changes, and configurations within the subproject.
- Ensure traceability and transparency of progress through regular reporting.
Stakeholder & Communication Management
- Manage diverse stakeholder groups and resolve conflicting goals or interests.
- Prepare and deliver communication materials, presentations, and decision papers for steering bodies and project committees.
- Act as a central communication interface between project leadership and team members.
Administrative & Operational Support
- Coordinate schedules, workshops, and project meetings.
- Support onboarding and offboarding activities for team members.
- Maintain project lists, trackers, and quality assurance documentation.
- Prepare templates, guidelines, and required project documentation.
Special Assignments
- Support the project leadership with strategic, analytical, or organizational tasks.
- Contribute to cross‑project topics when required.
3. Qualifications
Languages
- German: C1 (CEFR)
- English skills sufficient for professional communication.
Technical Tools
Proficiency in commonly used project and collaboration tools, including:
- MS Word
- MS Excel
- MS PowerPoint
- MS Outlook
- Jira
- MS Project
Education
One of the following:
- Completed degree in Computer Science, Information Systems, or Business Informatics
- Vocational qualification in an IT profession
- Alternatively: at least 6 years of experience in the IT field
4. Professional Experience Requirements
Project Management
- Minimum 3 years of experience managing medium-sized and moderately complex IT projects.
- Proven ability to deliver repeated, substantial contributions in similar project environments (not occasional or one-time involvement).
- Must be demonstrated through CV and detailed project references.
