The European Investment Bank (EIB) is seeking a Resident Protocol and Events Officer in Brussels. This is a full‑time, grade 5 permanent contract position.

Purpose

You will coordinate and organise visits and events mainly in Brussels and occasionally in Headquarters. You will deliver protocol services for the President and MC members, liaise with EU Institutions and other organisations and uphold the EIB’s presence at key events.

Accountabilities

  • Provide professional protocol support for the President, MC members and senior staff during official visits to Belgium and abroad.
  • Prepare missions and accompany the President and delegations on trips outside Belgium and Luxembourg.
  • Manage official and corporate meetings and events organised by the division in Brussels or external venues, ensuring stakeholder satisfaction.
  • Represent the EIB Group at delegated functions and promote the bank’s interests.
  • Ensure protocol access and a professional welcome when visiting other institutions.
  • Organise official and corporate meetings and events in Brussels, coordinating with the Head of Division and colleagues in Luxembourg.
  • Guarantee high‑quality organisation for bilateral meetings, signature ceremonies, seminars and receptions.
  • Coordinate with Brussels Office colleagues in charge of meeting room management and catering.
  • Manage protocol arrangements for visits to the EIB Permanent Representation in Brussels, liaising with the Head of Representation.
  • Oversee protocol tasks such as seating plans, protocol gifts, and coordination with building security or police.
  • Manage event sponsorship related activities, including budget coordination with the EIB Permanent Representative.
  • Analyse requests for event sponsorships/partnerships and provide recommendations.
  • Oversee administrative tasks related to core functions in Brussels, including statistics, inventories and budget control.
  • Liaise and coordinate with external service providers and their staff on site.
  • Develop and maintain a strong network of contacts within EU institutions and other organisations, providing analysis and updates.
  • Collaborate on the annual list of events, budgets and event evaluation, with tasks determined by the Head of Division.
  • Regularly travel to Luxembourg for collaboration with senior colleagues.

Qualifications

  • University degree (minimum bachelor’s level) in international relations, diplomacy, European studies, law, political sciences, languages, hospitality‑travel‑event management or corporate communication.
  • At least 5 years of relevant professional experience in protocol, diplomacy, international relations, official missions, or VIP hospitality, with at least 2 years in a confirmed protocol role.
  • Excellent understanding of EU institutions and relevant counterparties.
  • Experience with budget and procurement processes and rules.
  • Recent experience in a key EU institution is an advantage.
  • Comprehensive knowledge of diplomatic and corporate protocol rules.
  • Experience organising and accompanying official missions.
  • Knowledge of high‑quality hospitality, catering and event organisation.
  • Ability to work independently and in a team, cooperating with numerous internal and external parties.
  • Ability to oversee and coordinate the work of others, as needed.
  • Proficiency with MS Office and standard IT tools.
  • Excellent command of written and spoken English and French; knowledge of other EU languages is an advantage.

The remuneration of staff hired directly at a post in an external office within the EU may be adapted to the costs of living of the respective country.
