Sales Operations Specialist (m/f/d) – Quantum Systems

Day to Day Mission
- Maintain, oversee, and align the sales process landscape, supporting new and existing deals from qualification through fulfillment.
- Coordinate operational activities with stakeholders in Operations, Fulfillment, Product Management, and Training to ensure successful planning and execution of deals.
- Organize and execute Sales‑to‑Fulfillment tasks – qualitative and quantitative system‑based support.
- Ensure consistent data quality and process hygiene in HubSpot, NetSuite, and other software tools.
- Maintain deal data (payment terms, shipping dates, line items, delivery addresses, etc.).
- Monitor deal status, pipeline maintenance, and forecasts in real time.
- Maintain material availability, pricing lists, and lead times (“shopping basket”).
- Communicate with customers regarding operational execution and fulfillment of deals.
- Monitor and prepare defined quality gates throughout the sales process (Qualification, Solution Review, Proposal Review).
- Manage key tools and platforms (CRM and ERP systems, Confluence, JIRA).
- Provide KPI dashboards and live reports via Power BI.
- Support the sales team with administrative and process‑related requests.
- Ensure compliance requirements (export control, end‑user statements, documentation) are met.
Qualifications
- You are thinking in processes and structures; numbers do not scare you and thinking holistically is your strength.
- You bring at least 3–5 years of relatable experience in areas of sales operations, CRM and ERP tools, Fulfillment Specialist, Project management.
- You are not shy to raise issues and communicate and coordinate across different teams and stakeholders.
- You have a high willingness to support and optimize the daily work of the Sales and Business development team.
- You are fluent in both German and English and feel comfortable with outward communication and customer interaction.
