Senior Executive Assistant – C-Level (all genders)

Responsibilities

Your future tasks:

Working closely with the C-level leadership team, you are a trusted executive partner who ensures that strategic priorities are translated into clear structures and effective execution. You create clarity in complexity, keep momentum across topics, and enable leaders to focus on decision-making and impact. Your role combines strategic awareness with strong operational ownership:

You orchestrate executive priorities by aligning calendars, meetings, travel, and business activities into coherent and well-balanced schedules.
You turn strategic objectives into actionable agendas, ensuring that meetings are well prepared, decisions are documented, and follow-ups are consistently driven.
You serve as a central point of coordination between C-level executives and internal as well as external stakeholders, enabling clear communication and smooth collaboration.
You prepare concise and high-quality presentations, briefings, reports, and decision papers for executive, board, and investor-related meetings.
You ensure that information flows reliably across senior leadership levels, while maintaining governance-compliant documentation and strict confidentiality standards.
You manage sensitive and strategically relevant information with discretion, sound judgment, and a strong sense of responsibility.
You anticipate needs, identify risks or bottlenecks early, and independently resolve issues before they escalate.
You support executive communication, special projects, and cross-functional initiatives, helping to connect teams and align leadership efforts.
You continuously refine executive-level processes and ways of working to increase efficiency, structure, and effectiveness.

Qualifications

Bachelor’s degree or equivalent relevant professional experience.
Minimum 5+ years of experience as an Executive Assistant supporting C-level executives.
Proven track record of working closely with senior leadership, board members, investors, and high-level external stakeholders.
Strong ability to manage complexity, prioritize effectively, and maintain composure under pressure.
Excellent organizational, coordination, and communication skills with a professional executive presence.
High level of integrity, sound judgment, reliability, and uncompromising discretion.
Experience in international organizations is a strong advantage.
Confident user of MS Office (Word, Excel, PowerPoint, Outlook) and modern collaboration tools such as Microsoft Teams.
Fluent in English (written and spoken); German language skills are a plus.
