Job Description

To shape the future of autonomous systems, Airbus is pooling its strengths in artificial intelligence and autonomy. For this purpose, we are establishing a new, agile Competence and Development Center at the traditional technology site of Tesat in Backnang.

Your Role

As our Team Assistant, you are the calm anchor in our dynamic high‑tech environment. You manage the daily operational noise so our engineering teams and leadership can focus entirely on developing AI and autonomous systems. You are more than just an administrator; you are the central interface for the team, the organizer of our daily work, and the crucial "first line of defense" that keeps distractions at bay while ensuring smooth communication with the outside world.

Your Tasks

• Proactive Calendar & Time Management: You don't just book appointments; you actively manage complex schedules, resolving conflicts before they arise and protecting the team's core focus time.
• Stakeholder Interface & Gatekeeping: You act as the primary point of contact ("first line of defense") for internal and external inquiries, filtering requests, prioritizing information, and handling correspondence professionally.
• Office Management & Administration: You ensure our new Competence Center runs smoothly day‑to‑day, from ordering equipment and managing team resources to onboarding new employees.
• Meeting & Event Coordination: You organize team meetings, workshops, and external visits, ensuring everything from the agenda to the logistics is perfectly prepared.
• Travel Planning & Expenses: You handle complex travel arrangements for management and team members and ensure accurate and timely expense reporting.

Your Profile

• Completed commercial training (e.g., Kaufmann/-frau für Büromanagement) or a comparable degree.
• Proven experience in an assistance or office management role, ideally in a dynamic, international environment (start‑up experience is a plus).
• Outstanding organizational skills, with the ability to multitask and keep a cool head even when things get hectic.
• Strong communication skills and a confident, professional demeanor—you know how to be friendly but firm when acting as a gatekeeper.
• Proficiency in modern office tools (MS Office, Google Workspace) and openness to new digital collaboration tools.
• Fluent in German and English (both written and spoken) is mandatory.
