As Team Lead - Office Management, you’ll take ownership of ensuring Hawk is an exceptional place to work. You will lead, mentor, and coordinate the Office Management team across our Munich, Berlin, and London locations. Your role will span overseeing daily office operations, executing major company events, supporting executive travel, and continuously enhancing our workplace environment. Based in Munich or Berlin, you’ll shape internal culture and ensure office excellence across all sites. Your Responsibilities Office Management Leadership Lead and develop the Office Management team across Munich, Berlin, and London, ensuring smooth, high-quality daily operations in every locationAct as escalation point and guide for complex office or facilities issues, setting standards and best practicesEnsure ISO requirements are consistently met (safety, documentation, cleanliness) across sitesChampion a welcoming, well-functioning office environment aligned with our valuesProject manage our upcoming Munich office move (estimated: end of 2025), coordinating all stakeholders Office Interior & Setup Oversee ongoing improvements to office spaces, including layouts, plants, artwork, and cultural design touchesEnsure optimal meeting room tech and ergonomic setups company-wideOwn and maintain up-to-date seating charts and occupancy plans for all offices Team Travel & Executive Support Implement and lead the company travel booking toolOversee travel coordination and itinerary support for teams and executivesProvide high-level administrative support to the CEO (Wolfgang) for major priorities, travel, and scheduling Event Planning & Coordination Lead the planning and delivery of three key annual company events (Sales Kick-Off, Tech Summit, Christmas Party)Drive the organization of monthly HQ Team Weeks and ongoing team engagement activities (e.g. Health Days, after-work socials) Gifting & Company Culture Oversee company gifting strategy, including birthdays and work anniversariesManage company merchandise: inventory, orders, and distribution Budget & Supplier Management Own and manage the office and events budget across all sitesBuild and maintain relationships with office and event suppliers and service providers, ensuring optimal value and quality Your Profile 5+ years’ experience in office management, operations, or executive assistance, including team leadershipProven track record of building and scaling an office management function within a high-growth startupPassionate about fostering strong team culture and extraordinary workplace experiencesOrganised, proactive, and able to lead multiple projects simultaneouslyStrong communicator and effective people manager with a service-oriented mindsetFluent in English (German is a plus)Willingness to travel to other offices as needed
