Document Controller / HR Assistant (Romanian Speaker)- Data Centre Project

Glent Group, a dynamic CSA specialist in Groundworks, Concrete Works, Underground Services, Structural Alterations, and External Works, is headquartered in London and operates across Europe. We are seeking a skilled Document Controller / HR Assistant to join our team in Frankfurt, Germany , supporting the delivery of large-scale hyperscale data centre construction projects.

The ideal candidate will have experience in document control within the construction or data centre industry and a strong understanding of managing complex project documentation within fast-paced, mission-critical environments.

Working within the project team and reporting to the Project Management team, you will play a key role in ensuring the accurate management, control, and distribution of project documentation across our major data centre construction projects.

Document Management

  • Maintain and manage all project documentation in accordance with company procedures and client requirements for hyperscale data centre projects.
  • Ensure accurate filing, tracking, and archiving of technical documentation, drawings, reports, and project correspondence.
  • Maintain document registers and ensure documents are updated, issued, and stored correctly.
  • Control the numbering, filing, sorting, and retrieval of electronically stored and hard-copy documentation.
  • Ensure the latest revisions of drawings, specifications, and technical submissions are distributed to the relevant project teams.
  • Support the project team with the management and submission of technical documentation, drawings, RFIs, method statements, and safety documentation required for data centre construction projects.
  • Distribute project documentation to engineers, supervisors, subcontractors, consultants, and client representatives.
  • Monitor and track document revisions and ensure the latest versions are always available to site teams.
  • Assist with document submissions to clients and consultants in line with strict project deadlines typical for data centre programmes.

HR and Payroll Coordination

  • Work closely with the HR and Payroll teams to ensure workforce documentation is maintained accurately for employees working on the project.
  • Assist with maintaining records related to site personnel, onboarding documentation, and workforce compliance.
  • Support the coordination of documentation required for payroll reporting and workforce tracking across the project.

Systems & Reporting

  • Maintain document control systems and ensure accurate data entry within project systems.
  • Generate reports on document status, submissions, and outstanding documentation.
  • Ensure document control procedures are followed across all project teams and subcontractors.

General

  • Liaise with project managers, engineers, subcontractors, consultants, and internal departments to ensure timely document submissions and information flow.
  • Provide administrative and coordination support to the project team when required.
  • Ensure confidentiality and proper handling of sensitive project and workforce information.

Qualifications

Degree or diploma in Business Administration, Construction Management, Engineering Administration, or a related field (preferred but not essential).

Experience

1–3 years of experience in document control, ideally within construction, infrastructure, or data centre projects.

Skills

  • Organisational & Administrative Skills: Ability to manage large volumes of documentation with accuracy and efficiency.
  • Communication Skills: Strong written and verbal communication skills when working with project teams and stakeholders.
  • IT & Systems Proficiency: Skilled in Microsoft Office (Excel, Word, Outlook) and document management systems.
  • Attention to Detail: Strong focus on accuracy and compliance with document control procedures.
  • Time Management & Prioritisation: Ability to meet deadlines in a fast-paced construction environment.
  • Team Collaboration: Comfortable working with multidisciplinary teams across engineering, construction, HR, and payroll functions.
  • Multicultural Awareness & Adaptability: Ability to work within international project teams across multiple European jurisdictions.
