Fleet & Facility Coordinator (f/m/div)

About The Role

As a member of our General Affairs team, you will handle all operative tasks in the area of fleet and facility management.

Responsibilities

  • Planning of availability of the vehicles.
  • Verification and optimization of costs.
  • Preparation and updating the car policy.
  • Active support in the further development of the fleet strategy (implementation of electric vehicles, market analysis of potential vehicles for CarSelector).
  • TCO calculation of future CarSelector incl. definition of BIC-Model.
  • Responsible for vehicle calculation, own contribution for driver, as well as user advice and support.
  • Ordering of the vehicles and e.g. accessories.
  • Coordination of car repairs.
  • Keeping control about the damage reports.
  • Claims settlement with insurance company.
  • Verification of invoices, cost control of car insurances and steering of the internal cost distribution.
  • Traffic violation ticket management.
  • Control of all driving licenses.
  • Administration and documentation of cars, costs, drivers etc. within SAP.
  • Professional handover and instruction of the vehicles.
  • Management & Negotiation of leasing contracts and close cooperation with the leasing companies.
  • Management of various insurance policies (accident insurance, international travel health insurance, passenger accident insurance, motor vehicle legal protection).
  • Contact to landlord and internal stakeholders.
  • Coordination of external service provider personnel (janitors, cleaning, reception).
  • Dealing with repair measures in the building.

Qualifications

  • Commercial or technical apprenticeship or study.
  • 5-6 years of professional experience within fleet management. Additional qualification as a fleet manager or fleet coordinator is desirable.
  • Confident handling of the MS-Office package, especially Excel; SAP knowledge is desirable.
  • Good communication skills.
  • Written and conversational fluency in German and English is required.
  • Analytical mindset with attention to detail and problem-solving skills.
  • Ability to work independently and as part of a cross-functional team.
