Key points of the position: Reporting to the management team, you will ensure smooth day-to-day operations and provide structure, clarity, and reliability across the organization.
As an Office Manager, your missions will include: Managing daily office operations and coordinating internal organizational processes, Organizing office equipment, supplies, and serving as the first point of contact for administrative matters, Supporting management and teams with scheduling, travel organization, and meeting preparation, Preparing and coordinating internal and external visits (NDAs, VS-NfD documents, visitor documentation, meeting rooms, access coordination, welcoming guests), Coordinating external service providers (facility management, IT, suppliers) and monitoring contracts, Supporting onboarding processes, preparing workspaces, and maintaining administrative employee data, Maintaining and improving internal documentation, procedures, and office processes.
Necessary skills: You have initial experience in office management, administration, or a comparable role, You are highly structured, organized, and solution-oriented, You work independently, anticipate needs, and remain composed in dynamic situations, You demonstrate professionalism, discretion, and reliability when handling sensitive information, You are flexible and comfortable managing a broad range of operational tasks, Fluent German and good English are imperative.
German/EU citizenship is required for defence clearance.
