Job Title: Project Administrator - Permitting

Location: Hamilton, NJ

POSITION DESCRIPTION

Alpha 3 is seeking an administrative professional to provide administrative and project support to engineering and project teams, with a focus on permitting coordination, documentation, scheduling, and communication. This role coordinates with internal teams, clients, subcontractors, and regulatory agencies to help keep projects organized and on schedule. This is a full-time position with a hybrid work schedule. Three days per week (typically Tuesday-Thursday) are expected to be in the office and two days per week from home. Preferred office location Hamilton, NJ.

RESPONSIBILITIES

Coordinate preparation and submission of permit packages, including drawings, specifications, and supporting documentation.
Track permit applications, approvals, comments, and deadlines; communicate status and potential delays to project management.
Coordinate with engineering, construction, regulatory, and project teams to ensure permit requirements are addressed.
Support permit closeout and maintain permitting logs, document registers, drawing lists, and project records.
Draft and edit correspondence and emails to clients, subcontractors, regulatory agencies, and other offices.
Prepare meeting notes and assist with project scheduling and coordination of engineering resources.
Assist with proposals, opportunities, bid schedules, invoices, expense reports, and project cost accounting.
Support office procedures, project management team, meetings, functions, and other administrative needs as required.

REQUIRED QUALIFICATIONS

Associate’s or Bachelor’s degree preferred.
2+ years of experience in project administration, permitting, engineering, construction, or a related field preferred.
Strong organizational, communication, and time-management skills.
Detail-oriented with the ability to manage multiple projects and deadlines.
Proficient in Microsoft Office Suite.
Ability to work independently and effectively coordinate with multidisciplinary teams.

Salary will be determined based on the qualifications and experience of the applicant.
