What To Expect

The Associate Manager Maintenance Planning - leads maintenance planning, FLUX CMMS accuracy, asset implementation, cost control, and compliance for the Technical Service team. This hands‑on leadership role combines strong people management with operational discipline to deliver reliable assets, tight budget control, on‑time execution, and full regulatory compliance.

What You’ll Do

  • Cost Control, Budgeting, Forecasting & PO Management
  • Own cost control for the Technical Service team through accurate annual and quarterly budgeting, forecasting, and financial tracking.
  • Create and manage Purchase Orders (POs) for all maintenance activities.
  • Verify invoices against actual work, contracts, and budgets to prevent overspending.
  • Ensure external maintenance contractors are invited, properly budgeted, and complete required work on time as per the FLUX schedule.

FLUX Maintenance Planning & System Accuracy

  • Lead preventive and corrective maintenance planning and scheduling in FLUX to maximize asset uptime and performance.
  • Maintain FLUX data accuracy by verifying checklists from all teams according to REGIS requirements.
  • Drive continuous checklist optimization and perform regular field verifications of jobs and actual time spent.
  • Ensure maintenance tasks are planned, tracked, and closed efficiently.

Asset Implementation in FLUX

  • Manage the implementation of new assets into FLUX after acceptance from the EPC construction team.
  • Assign correct checklists per REGIS, incorporate legacy scopes, and ensure all data is accurate and complete.
  • Conduct necessary field work and verification to validate asset information.

Compliance (Permit & Environmental)

  • Ensure full permit and environmental compliance for the entire Technical Service team.
  • Track permit validity, coordinate timely renewals, and proactively close any compliance gaps.
  • Permit & Building Law Compliance: Lead permit acquisition, maintenance, and full adherence to local/state regulations. Track regulatory changes and advise stakeholders.
  • Operational Safety (Betriebssicherheit): Oversee Betriebssicherheitsverordnung compliance through regular audits, assessments, and checks.
  • Compliance Management System: Build and run ISO 37301‑aligned system. Create standardized policies, procedures, and training for Technical Services.
  • Risk Management: Identify permit/building law risks, assess impacts, and implement quick mitigation fixes.

Cross‑Team Coordination

  • Act as main link between Technical Service, Permit, and EHS teams. Run compliance meetings and training to keep everyone aligned.
  • Audits & Reporting: Perform project compliance audits at all stages. Deliver clear reports to management with findings, status, and improvement actions.

People Management & Team Leadership

  • Directly lead, coach, and develop the maintenance planning team and coordinate closely with technical service personnel.
  • Set clear goals, conduct performance reviews, and hold the team accountable for deliverables and accuracy.
  • Build strong collaboration between planning, execution, and contractor teams to drive results.
  • Identify training needs and support the professional growth of team members.

Additional Supporting Responsibilities

  • Oversee REGIS system compliance for maintenance tracking and performance metrics.
  • Manage spare parts inventory efficiently and generate bi‑weekly reports on stock levels and usage.
  • Support asset integrity through condition monitoring and risk‑based inspections.
  • Promote safety awareness and ensure proper PPE usage across all maintenance activities.

What You’ll Bring

Education

  • Bachelor’s degree in Engineering, Facilities Management, or related technical field.

Experience

  • 5+ years in maintenance planning, asset integrity, or CMMS management.
  • Proven people management / supervisory experience is required.

Technical Skills

  • Proficient in CMMS systems, especially FLUX and REGIS.
  • Solid knowledge of maintenance strategies, asset integrity principles, and safety regulations.

Financial & Organizational Skills

  • Strong hands‑on experience with budgeting, forecasting, cost control, PO creation, and invoice verification.
  • Excellent ability to manage multiple priorities while maintaining high accuracy.

Leadership & Communication

  • Demonstrated ability to lead, motivate, and develop teams in a fast‑paced industrial environment.
  • Strong verbal and written communication skills for effective coordination with teams, contractors, and stakeholders.
