Support Strategic Projects

• Coordinate CEO-sponsored initiatives and cross-functional improvement projects.
• Develop and maintain project plans, timelines, action trackers, and status reports.
• Monitor progress and elevate risks, delays, and dependencies where required.
• Ensure project deliverables are completed on schedule.

Support Project Leads

• Provide project management support to Project Leads across the organization.
• Help establish consistent project governance, reporting, and milestone tracking.
• Facilitate project reviews, steering committee meetings, and stakeholder updates.
• Assist Project Leads with risk management, action tracking, and reporting requirements.
• Consolidate project information into management dashboards and executive summaries.

Build and Maintain the Management Operating System (MOS)

• Support the CEO in designing and implementing the company's Management Operating System.
• Coordinate regular business reviews, KPI reporting, project reviews, and action tracking.
• Develop standardized templates, dashboards, scorecards, and reporting mechanisms.
• Drive discipline around meeting cadences, follow-up actions, and governance processes.
• Maintain visibility of key company priorities and strategic initiatives.

Executive Office Support

• Prepare presentations, reports, briefing materials, and management communications.
• Capture decisions and action items from executive meetings.
• Track organizational priorities and ensure timely follow-up.
• Assist with leadership team offsites, operational reviews, and planning cycles.

Business Analysis & Reporting

• Collect and analyze project, operational, and commercial data.
• Develop management dashboards and KPI reports.
• Support business case preparation and improvement initiatives.
• Conduct research and benchmarking to support decision-making.

Continuous Improvement

• Identify opportunities to simplify processes and enhance effectiveness.
• Promote project management best practices across the organization.
• Support implementation of new tools, templates, and governance frameworks.

What you bring with you

Required

• Bachelor's degree in Business Administration, Economics, Finance, Engineering, or related field.
• 2-5 years of experience in project coordination, PMO, business operations, consulting, finance, or a similar function.
• Strong organizational and analytical skills.
• Proficiency in Microsoft Excel and PowerPoint.
• Excellent communication and stakeholder management skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Fluent in English and German.

Preferred

• Experience supporting project teams or project managers.
• Exposure to PMO, project governance, or business operations.
• Familiarity with KPI reporting and executive dashboards.
• Knowledge of project management methodologies.
