Job Title: EU Operational Programs Coordinator & Analyst (German & English)

Job Summary

The EU Operational Programs Coordinator & Analyst supports the planning, coordination, and analysis of operational infrastructure and workplace programs. The role manages space and workplace resources, coordinates external service providers, and provides analyses and reports to support data‑driven decision‑making. It also serves as a key interface between Facilities Management, EHS, Infrastructure and Strategic Projects, operational business functions, and external partners.

Key Responsibilities

  • Operational Program Management: Maintain and continuously improve SharePoint‑based processes, support the implementation and execution of operational programs, develop, maintain, and analyze KPIs, reports, and dashboards, support special projects, ensure structured documentation and tracking.
  • Space and Workplace Management: Manage and maintain workplace and space data via systems (e.g., iotspot), analyze utilization and occupancy, prepare reports, support move planning and space planning concepts, ensure efficient utilization.
  • Stakeholder Management: Collaborate with internal customers and leadership, communicate information, coordinate activities across departments, support development and implementation of new processes and standards.
  • Vendor and Contractor Management: Coordinate and manage external service providers and contractors, organize site access, ensure compliance with safety, quality, and regulatory requirements, coordinate PTW processes, conduct safety briefings, support handover of work areas.
  • Analysis and Reporting: Perform analyses to support decision‑making, prepare management reports, presentations, status updates, evaluate KPIs, identify improvement opportunities, recommend actions.

Qualifications

  • Education: Bachelor’s degree in Facility Management, Industrial Engineering, Business Administration, Project Management, or related field (or equivalent).
  • Experience: Experience in Facility Management, Workplace Management, Operations Management, or similar; experience managing external service providers and vendors; preference for data analysis, reporting, and process improvement.
  • Technical Competencies: Strong knowledge of Microsoft 365 applications (Excel, Power BI, SharePoint, PowerPoint), understanding of space management systems (e.g., iotspot), basic knowledge of EHS and compliance requirements, analytical thinking, structured approach.
  • Personal Competencies: Excellent communication and organizational skills, strong customer and service orientation, self‑motivated and proactive, ability to coordinate multiple priorities, flexibility, teamwork, effective stakeholder management.
  • Languages: Fluency in German and good English (written and spoken).

Pay Range

€62,500.00 – €97,865.00

Benefits
