Overview

PMO Strategic Projects Lead role orchestrates strategic technology initiatives across the digital ecosystem, including LMS platforms, web/content platforms (Drupal), headless commerce (Medusa), and product information / digital experience management (Pimcore). This is a hybrid role combining portfolio governance, program management, change leadership, and stakeholder alignment to keep delivery moving.

Responsibilities

• Own the project intake, prioritization, and approval process, ensuring initiatives map to strategic objectives and measurable business value.
• Implement structured prioritization frameworks (e.g., RICE, weighted/value-vs-effort) to rank demands objectively and defensibly.
• Facilitate portfolio visibility on review boards, steering committees, and quarterly planning ceremonies; frame trade-offs and drive go/no-go or re-prioritization decisions.
• Develop and maintain portfolio dashboards to track delivery health, risk, cross-platform dependencies, capacity, and benefit realization.
• Enforce PMO standards (charters, stage-gates, RAID logs, definition of done, and status reporting) while maintaining lightweight governance.
• Collaborate with resource managers to align capacity and demand management across the portfolio.
• Drive delivery using Agile methodologies and scaled frameworks (SAFe and/or LeSS); coordinate across teams and Agile Release Trains or iterative releases.
• Support Lean Portfolio Management: align strategic themes to epics, manage portfolio Kanban and intake flow, enable agile funding models.
• Coordinate cross-team planning and dependency mapping to keep initiatives (LMS, Credit Reporting, Drupal, Medusa, Pimcore, etc.) aligned.
• Remove cross-program impediments, manage risks and dependencies, and protect delivery cadence and flow.
• Champion continuous improvement through retrospectives, flow metrics, and data-informed adjustments.
• Collaborate on strategic technology integrations across the stack with IT/Architecture teams: LMS platforms, Drupal, Medusa, Pimcore, and other PMO portfolio platforms.
• Understand systems integration and data migration initiatives (REST/GraphQL APIs, SSO, SCORM/AICC, iPaaS) with a focus on data quality and controlled cutover.
• Translate business requirements into technical sequencing and trade-offs; maintain a program-level view of architecture dependencies and non-functional requirements (security, performance, scalability, regulatory compliance).
• Apply AI across the portfolio lifecycle for status synthesis, planning, and forecasting; strengthen data foundations for trustworthy AI-enabled decisioning.
• Evaluate and govern AI features within the toolchain, ensuring guardrails for governance and oversight.
• Run the portfolio in the Atlassian suite (Jira Cloud, Confluence) and build executive-grade reporting in Power BI, Jira, and other platforms.
• Define and track key metrics (delivery predictability, flow, value realized, ROI, risk exposure) and convey insights to leadership.
• Bridge executives, functional leaders, product, engineering, and delivery teams; translate strategy into execution and report status back into strategic insight.
• Ensure clear decisions, defined ownership, actionable next steps, and transparent follow-through in discussions.
• Communicate with professionalism, facilitate alignment among stakeholders, and represent differing viewpoints while maintaining objectivity.
• Lead prioritization and trade-off discussions with executive presence; provide clear recommendations and impact analyses to maintain alignment with portfolio objectives, timelines, budgets, and priorities.
• Coach and support project managers and workstream leads; foster a culture of accountability and continuous improvement across the PMO.
• Provide resource allocation recommendations based on project plans and forecasted timelines.
• Lead portfolio-level decision and escalation management paths; route risks through governance channels for timely resolution.

Qualifications

• Education & Certifications : Bachelor’s degree in Business, Finance, IT, Computer Science, or related field; MBA preferred. PMP, PgMP, or PfMP required. Agile/scaling certifications (CSM/PSM, SAFe/ SPC/ RTE, LeSS Practitioner) preferred. Change-management certification (Prosci) a plus. AI/data credentials or demonstrable experience a plus.
• Experience : 4-6+ years in program and portfolio management; 2–3+ years leading enterprise transformation or technology-platform programs. Proven PMO and portfolio staffing in dynamic, multi-project environments. Hands-on delivery experience with web/content, commerce, PIM/DXP, or LMS platforms (e.g., Drupal, Medusa, Pimcore, LMS). Experience in IT systems integrations and data migrations (APIs, SSO, ERP/CRM, migrations); exposure to finance-related concepts a plus. Strong governance, executive reporting, and resource management background.
• Technical Skills : Atlassian Jira Cloud and Confluence proficiency; RICE and other prioritization/metrics; Power BI/Jira/Big Picture/Excel for dashboards; understanding of APIs (REST/GraphQL), SSO, SCORM/AICC, headless/composable architecture, iPaaS; familiarity with AI in delivery context; knowledge of Agile and Lean Portfolio Management; MS Project/Visio/SharePoint useful.
• Soft Skills : Executive presence; excellent written and verbal communication; ability to influence without authority; facilitation, negotiation, and conflict resolution; adaptability in ambiguous, fast-changing environments; growth mindset toward AI-enabled tools.
