As One Thousand has grown, so has the number of priorities, relationships and decisions moving through our Founder and CEO, Tim. The company has reached a point where more of that operating structure needs to sit around him rather than with him.

We are now looking for a Senior Executive Assistant who can take ownership of the operating structure around Tim and make it dependable. This role reports directly to Tim.

This is a senior role with a substantial hands‑on core. You will own Tim’s calendar, inbox, travel, preparation and correspondence while strengthening the systems and routines that create better visibility, prioritisation and follow‑through.

It is not a traditional Chief of Staff role, and it is not a position where seniority means stepping away from executive support. Some of the structure around the role is still being built, so you will need to be comfortable creating order while the work is already moving.

What the role is about

  • Owning the CEO's time and attention: manage Tim's calendar, inbox and priorities as one connected system. Use judgement to decide what needs his attention, what can be handled elsewhere and where his time must be protected.
  • Shaping the CEO's operating rhythm: structure recurring meetings, preparation time, follow‑up and focus across the week so Tim's time reflects the company's priorities.
  • Preparing him well: ensure he enters client, commercial, leadership, shareholder and hiring conversations with the right context, clear objectives and the points that matter most.
  • Keeping work moving: track CEO‑level decisions, commitments and follow‑ups, coordinate with owners and ensure important work does not depend on Tim remembering or chasing it.
  • Strengthening how the work runs: maintain and improve practical systems for briefing, priorities, information flow and follow‑through. Use AI and automation where they make routine work more efficient and leave more time for judgement, relationships and decisions.
  • Managing communication and relationships: draft correspondence in Tim's direct, informal style, route requests intelligently and act as a trusted point of contact for clients, shareholders, partners, advisers and senior candidates.
  • Coordinating travel and logistics: manage domestic and international travel, expenses, itineraries and last‑minute changes with sound judgement around cost, convenience and timing.

You will work closely with the Workplace & Operations Manager, who owns workplace, supplier, onboarding and financial administration.

What you bring

  • Substantial experience supporting a founder, CEO, managing partner or similarly senior executive, ideally within a scale‑up or other fast‑growing business.
  • Evidence that you have taken ownership of the structure and systems around a senior executive rather than simply administering a diary.
  • Strong judgement about what requires the CEO, what can wait and what should move elsewhere.
  • The ability to move between detailed administration and wider business context, turning incomplete information into a concise briefing or clear next step.
  • Confidence asking direct questions, challenging constructively and following up with senior stakeholders.
  • The ability to work independently, make sound decisions within your remit and escalating appropriately when needed.
  • A collaborative approach and the ability to build strong working relationships across leadership, teams and external stakeholders.
  • Professional fluency in written and spoken German and English.
  • Discretion, composure and consistently strong follow‑through when handling sensitive work and changing priorities.
  • Confidence using AI and automation thoughtfully to improve executive support while preserving time for judgement, relationships and decisions.
  • Comfort creating structure where processes are not yet fully defined, adapting when genuine priorities change and helping establish a more sustainable way of working around the CEO.
  • Experience in consulting, technology, professional services or another founder‑led business would be particularly relevant.
