What you will be doing

Collaboration with Executive Assistant to CDIO

• Work in close collaboration with, and in support of, the Executive Assistant to the Group CDIO to ensure alignment with CDIO communication, leadership engagement, and Group IT priorities
• Execute day-to-day coordination and operational activities in support of DTO and EM teams, with priorities, sequencing, and quality standards aligned with guidance from the Executive Assistant to the CDIO
• Support the preparation and execution of key IT forums, leadership meetings, and transformation-related engagements, ensuring consistent operating rhythm, clear communication, and high-quality delivery across Group IT

Engagement Management (EM) Team Coordination & Support

• Own scheduling, coordination, and logistics for the EM team across brands, functions, and regions
• Manage recurring team cadences (weekly EM syncs, monthly reviews, quarterly planning, etc.)
• Coordinate cross-time-zone meetings, workshops, and key transformation touchpoints
• Track attendance, follow-ups, and action items to ensure smooth execution

Events & Meeting Logistics

• Own end-to-end booking and coordination of events and meetings: venue/room selection, calendar management, catering, and travel touchpoints where relevant
• Prepare and quality-check agendas, invites, and logistics details ahead of each session, and manage on-the-day execution and follow-up

DTO Operating Rhythm & Planning Support

• Support the setup and maintenance of DTO operating rhythms, including planning cycles, reviews, and governance forums
• Help structure agendas, materials, and logistics for DTO-related meetings and workshops
• Maintain visibility on key DTO activities, milestones, and dependencies across initiatives
• Build and maintain Excel-based trackers (e.g. budget, action logs, RAID logs, attendance) to support planning and reporting

Stakeholder & Communication Management

• Act as a coordination point between EM team members, DTO leadership, and broader Group IT / business stakeholders
• Support preparation, consolidation, and distribution of materials (agendas, decks, summaries)
• Ensure timely communication and follow-through on agreed actions
• Handle sensitive and confidential leadership material with discretion, given close collaboration with the EA to the Group CDIO

Team Enablement & Process Improvement

• Identify recurring coordination pain points and propose improvements to tools, processes, and ways of working
• Support onboarding of new EM team members from a logistics and process perspective
• Help standardize templates, calendars, and coordination practices across DTO
• Proactively explore and apply AI and automation tools to streamline coordination and reduce manual administrative work

What you need to succeed

• 5+ years of experience in team coordination, project support, PMO, or executive/team management roles
• Strong organizational and coordination skills, with the ability to manage multiple stakeholders, priorities, and timelines in a matrixed, multinational environment
• Proactive, structured, and service-oriented working style, with high attention to detail, reliability in execution, and comfort operating behind the scenes to enable senior and cross-functional teams
• Clear and professional communication skills (written and verbal), with the ability to navigate ambiguity and adapt pragmatically to evolving priorities
• High proficiency in core productivity tools, including Microsoft Outlook, PowerPoint, and Excel (including building trackers, budget sheets, and dashboards), and collaboration platforms such as Teams and SharePoint
• Openness and willingness to learn and apply AI and automation tools in day-to-day coordination work
• High discretion in handling confidential information
• Experience supporting cross-functional or transformation teams is a strong plus
• Ability to take ownership and strive for excellence in how work is planned, executed, and improved
• Motivation to learn, grow, and continuously develop skills
