We are strengthening our team and looking for a Project Management Officer (PMO) to support and enhance our IT Project Portfolio Management activities. In this role, you’ll work alongside our Group IT Portfolio Manager to coordinate portfolio planning, improve project governance processes, and ensure consistent reporting and communication across a diverse range of IT initiatives. Your contribution will help us manage resources effectively, align projects with strategic goals, and support smooth execution across our international portfolio.

As our PMO, you’ll play a key role in ensuring structured governance and the smooth coordination of our IT project portfolio. Your responsibilities will include supporting portfolio planning, resource and capacity management, process optimisation, and portfolio-wide reporting. These activities enable informed decision-making and help ensure strong alignment with stakeholders across departments and regions.

Support the strategic and rolling planning of the IT project portfolio, including capacity, budget, and scope planning, with regular monthly updates and cross-functional coordination

Maintain and update the central project portfolio list, ensuring alignment with strategic objectives and accurate tracking of KPIs, milestones, risks, and issues

Support project resource management, including tracking internal and external staffing needs and monitoring contract compliance for external service providers

Assist with project initiation, including the preparation of project proposals and coordination of approval workflows

Drive continuous improvement of project and governance processes across Group IT

Guide project managers in following established project processes and reporting standards

Organise and maintain project documentation and reporting repositories to ensure consistency and accessibility

Collect and review monthly project reports, ensuring data accuracy and consistency across the portfolio

Prepare clear, actionable summaries and dashboards for the monthly portfolio review board

Capture and document key outcomes and decisions from meetings and review boards

Coordinate communication around major IT initiatives, ensuring alignment with broader IT communication strategies

Facilitate alignment and collaboration across departments to support effective portfolio execution

Act as a primary contact for the operational aspects of the IT project portfolio

What we expect of you :

Practical experience supporting IT project planning, reporting, and resource coordination, preferably within a PMO or central project organisation

Experience using project and portfolio management tools (e.g. Microsoft Project, Smartsheet, Planisware, or Wrike) to support multi-project planning, tracking, and reporting#

Preferred certification in Project Management (e.g. PMP) or Portfolio Management (e.g. PfMP)

Proven ability to manage timelines, organise project documentation, and support process adherence

Familiarity with portfolio governance practices, including KPI tracking, milestone monitoring, risk and issue management, and documentation control within structured approval workflows

Ability to prepare clear reports, dashboards, and meeting documentation to support cross-functional alignment and senior stakeholder communication

Strong coordination skills with the ability to communicate clearly and effectively with diverse stakeholders

Ability to work effectively in a complex collaborative, matrix environment with virtual teams in a multi-cultural / geographically diverse environment

Strong problem-solving and troubleshooting skills, with the capacity for mature judgment in challenging situations

A strong command of spoken and written English is a must, and knowledge of German is a plus
