Executive Assistant to the CEO (Tech & Strategic Projects)

Since our launch 1.5 years ago, Vicos won projects from large corporate clients such as Mercedes-Benz, Netflix, or the German Federal Government, as well as from many mid-sized businesses. Our SaaS platform is an integrated solution of marketing, organizational, legal and financial tech. It includes a marketplace that matches clients and Vicos. It is integrated into the world’s leading procurement software provided by one of our partners, SAP.

There are already 100+ Vicos on our platform, uniting thousands of freelancers. Our central team has 40 members and is located across Europe, expanding to the US. Our headquarters are in Frankfurt/Main.

You’ll be the CEO’s tech-savvy right hand for AI-centric strategic projects with measurable business impact. From day one, you’ll scope, launch, and deliver cross-functional initiatives aimed at shaping strategy, building operating muscle, and turning ideas into shipped outcomes. You’ll work directly with the CEO and collaborate closely with Product, Software Development, and Partnerships team members. We operate hybrid: regular on-site collaboration in Frankfurt am Main with the CEO (e.g., on key project days) while retaining flexibility to work remotely or from one of our offices (Frankfurt, Walldorf, Barcelona, Seville). • Drive CEO special projects end-to-end: define problem statements, scope work, set milestones, coordinate stakeholders & team members, and deliver measurable outcomes.


• Establish AI-first workflows (e.g., agentic automations, data pipelines) together with Product/Software Development to improve Vico operations and our platform.


• Pilot and operationalize the “AI agent” role inside Vicos; document learnings and scale playbooks.


• Support partnerships exploration: research targets, prepare outreach materials, analyze strategic fit, and help bootstrap pilot collaborations.


• Prepare crisp analyses and decision memos for the CEO (market scans, business cases, OKRs) and track execution against company priorities.


• Orchestrate cross-functional sprints that translate strategy into product/operations changes; ensure risks, dependencies, and comms are managed.


• Build dashboards to monitor KPIs for your projects; communicate business impact, pull insights and propose next steps and follow-up projects.

• Entrepreneurship – we’re growing fast, and so will you. You must be a fast learner and keen to work on new challenges every day.


• University degree with very good results.


• Professional experience requiring top qualities, be it via a first employment, own entrepreneurial initiative or internships is a plus. Ideally, this experience is in professional services (e. g. consulting, legal, finance) and somehow related to technology, including AI.


• Experience with intensive usage of AI tools and interest in the evolution of AI.


• Excellent communication skills – you will have to interact with a lot of people daily. You easily pick up the phone and talk to someone.


• Strong team spirit and capability to interact internally and externally with different people spanning the tech, sales, services and financial spheres.


• Excellent German and English (DACH is still our home market, while we expand abroad).
