The Global People Experience Senior Specialist is a senior role within our People Experience Team, responsible for coordinating and overseeing end-to-end daily operations across the employee lifecycle. This role ensures operational excellence, consistency, and compliance across countries, directly supporting Oviva’s mission by creating a reliable, high-quality employee experience grounded in care, accuracy, and accountability.

As a senior member of the pillar, the Specialist coordinates core operational processes including employment contracts, employee changes (promotions, FTE changes, transfers), sickness administration, and documentation management. They ensure smooth operational onboarding and offboarding (documentation, systems setup, compliance steps) and take ownership of accurate and timely payroll inputs, meeting all payroll cut-off deadlines. The Senior Specialist oversees ticket management and SLA adherence across countries, ensuring timely and consistent responses to employee queries.

They are accountable for managing deadlines, safeguarding data accuracy, and maintaining process continuity through a structured global backup model. Beyond executing tasks, this role is responsible for coordinating work within the pillar, prioritising activities, monitoring workload distribution, and ensuring high standards of delivery.

By driving operational discipline and cross-country consistency, the People Experience Senior Specialist plays a critical role in strengthening trust in People processes and enabling the broader organisation to operate effectively and compliantly.

Requirements

  • Experience: Proven track record in a people-facing role managing end-to-end processes.
  • Technical Proficiency: Deep understanding of HR systems, payroll processes, and administrative compliance.
  • Experience working in a people operations, HR support, or employee lifecycle role.
  • Solid understanding of HR processes, systems, and administrative compliance.
  • Proficiency in using HRIS, ticketing tools (e.g. Freshdesk), and collaborative platforms is an advantage.
  • Project Management: Excellent problem-solving skills with the ability to think strategically while executing with precision.
  • Communication: Exceptional written and verbal communication skills, with the ability to manage sensitive matters with discretion.
  • Mindset: A demonstrated growth mindset, resilience, and the ability to navigate ambiguity effectively.
  • Education: A degree or equivalent experience in Human Resources, Business, Psychology, or a related field.
  • Languages: Fluent English and German speaking skills.

Responsibilities

  • Lifecycle Excellence: Lead initiatives to enhance the onboarding experience and design meaningful, compliant offboarding procedures.
  • Operational Oversight: Supervise the preparation of contracts, lifecycle documentation, and records while acting as an escalation point for complex matters.
  • Payroll & Expenses: Review and validate payroll inputs to ensure accuracy and streamline expense processes for greater efficiency.
  • Global Process Design: Create and implement scalable, global policies that enhance consistency and meet evolving business needs.
  • Employee Advocacy: Act as a trusted advisor to colleagues and managers, offering guidance on policies and resolving pain points in the employee journey.
  • Self-Service Innovation: Lead the continuous improvement of our People Portal and ticketing tools to drive efficiency and effective support for our global team.
  • Leadership Support: Act as the designated backup for the Global People Experience Lead, providing team coordination and operational oversight when needed.
