POSITION OVERVIEW:
We are looking for a proactive and highly organized HR & Admin Associate to support our growing HR function. This role will be responsible for coordinating recruitment processes, supporting day-to-day HR operations, handling administrative tasks, and assisting with data and reporting requirements. The ideal candidate thrives in a fast-paced, deadline-driven environment and can effectively balance multiple priorities simultaneously.

RESPONSIBILITIES:
Recruitment & Talent Coordination
  • Manage recruitment platforms such as Breezy HR and LinkedIn, including job postings, candidate pipeline updates, and application management.
  • Prepare and post job descriptions on LinkedIn according to the recruitment calendar.
  • Conduct first-round interviews, provide detailed interview notes, make initial candidate decisions, and ensure all interviewers complete their notes on Breezy HR.
  • Conduct cold outreach and headhunting to attract passive candidates, writing compelling outreach messages.
  • Serve as the main contact for candidates, ensuring timely communication and feedback throughout the process.
  • Onboard new team leaders and managers into the recruitment process by providing system access and training on procedures.
  • Track recruitment metrics and provide weekly updates to the HR team and stakeholders.

Onboarding
  • Send offers and negotiate terms.
  • Create new team member accounts across key platforms (e.g. Minerva, BambooHR)
  • Oversee and track completion of onboarding tasks by new hires.
  • Schedule and conduct welcome calls with new team members to guide them through the onboarding process.
  • Coordinate onboarding for Georgian-based team members, including issuing laptops, collecting signed NDAs, and setting up health insurance.

Offboarding
  • Remove leavers from respective email groups.
  • Restrict software access and remove users from software dashboards.
  • Ensure company assets are returned and properly accounted for.

People & Administrative Support
  • Coordinate personalized team members recognition initiatives, such as thoughtful gifts for work anniversaries and special occasions, to foster a positive workplace culture.
  • Select and organize "Citizen of the Month" in alignment with company values.
  • Order birthday cakes and arrange gifts for special personal events (e.g., childbirth, weddings).
  • Manage all business travel arrangements including preparing travel request forms and liaising with line managers.
  • Manage logistics including but not limited to laptop distribution for new hires and leavers.
  • Maintain accurate team members records and update HR databases and tools as needed.

Team Support & Reporting
  • Provide general administrative support to the HR team across various projects and initiatives.
  • Support company-wide initiatives and team members engagement activities.

QUALIFICATIONS:
  • Bachelor’s degree in Business Administration or a related field.
  • Minimum of 3 years’ experience as an HR & Admin Associate, HR Coordinator, or similar role, with strong exposure to recruitment and talent acquisition.
  • Familiarity with ATS platforms (preferably Breezy HR) and LinkedIn Recruiter.
  • Knowledge of Georgian labor law is a plus.
  • Strong organizational and multitasking abilities.
  • Tech-savvy with proficiency in Google Workspace or Microsoft Office, and comfort with HR systems.
  • Familiarity with HR analytics and tools (e.g., spreadsheets, dashboards, reporting platforms).
  • Detail-oriented, proactive, and able to work independently and collaboratively.
  • Excellent communication and interpersonal skills.
  • Fluency in written and spoken English is required.

CHALLENGES:
  • Managing multiple high-priority tasks simultaneously, especially during peak recruitment periods, without compromising quality or deadlines.
  • Balancing recruitment coordination (screening, scheduling, updating trackers) with daily administrative duties, including team travel arrangements.
  • Handling global logistics and equipment shipments, navigating challenges in international deliveries and ensuring timely receipt by remote team members.
