Professional Expertise
- You bring several years of experience in a comparable role or as a senior expert / professional team coordinator within a service, project, or administrative environment.
- You have strong expertise in building, further developing, and applying processes, standards, and methodologies.
- You have very strong Excel skills and confidently use them for reporting, analysis, and KPI‑driven steering.
- You have experience with common ERP and CRM systems and understand how invoicing and billing processes are efficiently mapped and managed within these systems.
- You bring a solid business and financial understanding and are able to assess commercial aspects within a service and project context.
- You have experience coordinating and steering tasks, projects, or service‑related initiatives based on KPIs and metrics.
- You demonstrate strong problem‑solving and conflict management skills.
- You communicate confidently in German and English .
- You are willing to travel occasionally, as your team is distributed across our locations, and you enjoy visiting your team members on‑site approximately once per quarter .

Your team
You will take over the leadership of our PMO (Project Management Office) team within Service Administration and report directly to our Director Professional Service. The team currently consists of 6 team members.

Leadership & Team Responsibility
- You lead, coach, and motivate your team, fostering a culture of trust, ownership, and continuous development.
- You create clear action plans, prioritize tasks, and ensure transparency regarding goals, progress, and results.
- You establish and use KPIs to monitor team performance and derive targeted improvement measures.
- You conduct regular one‑on‑ones, feedback, and development discussions, actively supporting individual growth.
- You strengthen cross‑team collaboration and act as a role model for open and respectful communication.
Functional Responsibilities (Service Administration)
- You develop, implement, and maintain standards, processes, and methodologies within the service and administration environment.
- You continuously assess existing workflows and identify opportunities to improve efficiency and quality.
- You are responsible for the monthly closing activities within the service context, including invoicing, invoice verification, and the professional handling of billing‑related inquiries and complaints.
- You provide consulting and advisory support to internal teams and stakeholders on service‑related topics, best practices, and risks.
- You coordinate tasks and resources in daily operations, considering dependencies and priorities.
- You act as an escalation point for complex professional issues and actively contribute to sustainable solutions.
- You ensure proper documentation of processes, tasks, and standards.
- You train team members and related roles on established processes, standards, and ways of working.
