Job Description

Job Title: Training Coordinator – Clinical Training Team (m/f/d)

Location: Aachen, Germany

Reports To: Clinical Training Team

We are seeking a highly organized and detail-oriented Training Coordinator to join our global Clinical Training Team. This role is pivotal in providing day-to-day administrative support and organizing training events for new hires and existing field team members. The Training Coordinator will manage communication and logistics and is responsible for ensuring the seamless execution of training programs. This role will also continually support clinical trainers and requires collaboration with global team members.

Principle Duties and Responsibilities

  • Provide general administrative support to an international clinical and commercial training department
  • Organize and coordinate in-class and virtual training events for new hires and existing field teams
  • Manage logistics for training programs and welcome employees to the Aachen office
  • Prepare training materials and ensure readiness for sessions
  • Manage calendars, secure rooms, and arrange logistics for training sessions and team events
  • Act as a liaison between instructors and attendees; manage communications effectively
  • Maintain participant lists, track attendance, and generate reports for attendance data
  • Collaborate with Clinical Trainers to ensure training labs are equipped and prepared for training sessions
  • Support the delivery of virtual training sessions on platforms such as Microsoft Teams
  • Provide real‑time assistance to trainers and facilitators during virtual events, ensuring smooth execution of activities
  • Coordinate special events and ad hoc projects to support training initiatives
  • Resolve issues promptly to ensure a positive learner experience
  • Handle purchase requisitions and purchase orders; manage vendor relations and review invoices for accuracy
  • Handle all logistics and meeting coordination for company leaders traveling in from global locations and facilitate travel logistics for specialty training programs (e.g., Training Exchange)
  • Support scheduling meetings, preparing agendas, taking minutes, and following up on action items
  • Maintain email distribution lists owned by Clinical Training Org and ensure accuracy
  • Provide administrative support in the Learning Management System (LMS) such as documentation of virtual and live instructor‑led training, creation of events and sessions, roster tracking and submission, relevant reporting, related end‑user support

Requirements

  • Minimum 2 years of experience in an administrative or coordinator role, ideally within MedTech or another regulated environment.
  • Strong attention to detail and excellent organizational skills
  • Excellent verbal and written communication skills; ability to work across multiple departments and global locations.
  • Collaborative team player with a positive, solution-oriented mindset.
  • Proficient in Microsoft Office Suite; familiarity with digital communication and project management tools (e.g., Microsoft Teams, SharePoint).
  • Experience with Learning Management Systems (LMS) is a plus.
  • Business fluent in German and English (written and spoken).

The anticipated base pay range for this position is 43.600 EUR to 70.725 EUR.
