As a highly organized and proactive Executive Administrative Assistant, you will be trusted to support the program's Director and Deputy Director to provide senior‑level administrative and technical support to meet short and long‑range goals and objectives of daily business operations. You will triage and coordinate resolution of high‑level inquiries on behalf of program office leadership, serve as the liaison between the program office, its internal program offices, and internal/external stakeholders, and perform meeting coordination, briefing material preparation, calendar reconciliation, and task tracking. This position is located in Columbia, MD, requires a DoD TS/SCI clearance and is 100% on site (no telework).
What You’ll Do
- Provides administrative support to a team of executive officials in Columbia, MD, including a wide variety of analytical, communications, and executive administrative duties to support the program’s Director and Deputy Director, ensuring an efficient and smooth flow of daily business operations.
Responsibilities
- Facilitating communication between high‑level officials throughout the Department of Defense and other government agencies and industries, including conducting privileged communications and handling confidential and sensitive management actions requiring executive resolution.
- Composing executive correspondence and other communications based upon executive requirements, routing and tracking information requiring action by the executive team, and ensuring all material is safely distributed, received, and acknowledged.
- Establishing and maintaining office files and records, including personnel and other confidential records.
- Reviewing and screening all written materials produced for the Director and subordinate division staff for format, editorial content, and subject matter accuracy and clarity.
- Effectively maintaining calendars of the Director and Deputy Director to meet mission requirements, priorities, and critical decision needs.
- Providing day‑to‑day guidance and preparation of materials necessary to support meetings, travel, and other activities conducted by the Director and Deputy Director, including hosting of visiting senior officials to the organization.
- Creating, maintaining, and sharing documents and folders housed in MS SharePoint.
- Interacting with internal and external customers, responding to inquiries and handling requests for information, and advising others on departmental policies and procedures.
- Processing forms and maintaining files and records in accordance with organizational and/or legal requirements.
- Managing information flow within the department and communicating new policies/programs that affect team members, identifying and escalating recurring problems or complex issues, and keeping Managers informed of issues that may be escalated to them.
- Performing other duties and assignments as required.
Qualifications
Minimum Qualifications
- Ability to pass an extensive background check.
- Ability to obtain and maintain a Common Access Card (CAC).
- Must be able to troubleshoot and multitask.
- Must be able to organize and track meetings, set up meetings, and send reminders through Microsoft Applications.
- Must be proficient in Microsoft Applications, such as Word, Excel, PowerPoint, Teams, and Outlook.
- Ability to communicate professionally and effectively, both verbally and in writing, is critical for this position.
- High degree of knowledge, competence, and application of executive and administrative competencies, including excellent organizational and analytical skills.
- Working knowledge and familiarization with DoD Manual (Vol 1) / Manual for Written Material: Correspondence Management.
- U.S. Citizenship is required as this position will require access to U.S.-Only data systems.
- This position requires the ability to obtain and hold a DOD TOP SECRET (T5) / SCI clearance; an active TOP SECRET (T5) clearance is required to be considered for this position.
Education / Certifications
One‑year related experience may be substituted for one year of education, if a degree is required.
- High school diploma or equivalent.
Experience
- Must have a minimum 10 years of overall administrative experience, with at least 5 years of experience supporting senior executives; experience in executive support within the DoD or other U.S. government agency is highly preferred.
- Utilization of Microsoft applications at an advanced level.
- Demonstrated experience with DoD‑specific administrative formatting and procedures.
Salary
USD $120,000.00 – $130,000.00
