Part-Time General Services Officer

Stellenbeschreibung:

  • Handle daily office operations: mail sorting, document filing, office supplies management, etc.
  • Coordinate communication between Chinese headquarters and German local teams, suppliers, banks, and government authorities
  • Prepare and translate business documents (invoices, contracts, official letters) between German and Chinese
  • Arrange business travel, accommodation, and meeting logistics for visiting colleagues from China
  • Maintain employee records and assist with HR administrative tasks (onboarding, leave management)
  • Support company events and team-building activities

2. Basic Accounting & Finance Support (40%)

  • Process incoming and outgoing invoices, verify accuracy, and enter into the accounting system
  • Assist with employee expense report processing and reimbursement
  • Prepare bank reconciliation statements and track daily cash flow
  • Communicate with external accountants to complete VAT returns and the submission of other basic tax documents
  • Maintain accounting records and ensure compliance with German financial regulations
  • Assist in preparing monthly, quarterly and annual financial reports and financial budgets
  • Reconcile employee payroll with external accountants

Qualifications & Requirements

Mandatory Requirements

  • Fluent in German (C1/C2 level) and Chinese (native level) – excellent written and verbal communication skills in both languages
  • Basic English business communication skills for daily internal communication
  • Bachelor's degree or above in Accounting or related field
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Familiarity with basic German financial and tax regulations
  • Strong attention to detail, organizational skills and ability to multitask
  • Valid long-term residence and work permit in Germany

Preferred Requirements

  • Minimum 1 year of relevant administrative or accounting experience in German or international companies (fresh graduates or part-time students majoring in Accounting are also welcome)
  • Familiarity with Datev accounting software (highly preferred)
  • Experience in cross-border communication and administrative affairs
  • Knowledge of industrial automation industry is a plus
