Job Description

The Office Administrator is responsible for performing a wide range of clerical and administrative tasks to support daily office operations.

  • Secretarial services, including organization of meetings, coordination of travel and other company events, post‑service, e‑mail service, and administration
  • Managing mail correspondence and courier shipments (incoming and outgoing)
  • Archiving of documents – electronic and hard copy (messages, financial documents, travel settlement, etc.)
  • Deputy for the office manager (partially, during absences)
  • Support and backup of local Accounting Department
  • Support and backup of local Human Resource Department
  • Keeping employee/personal files up‑to‑date
  • Maintaining office supplies inventory
  • Monitoring office maintenance
  • Contact person for various suppliers and service providers
  • Reception of guests and clients and taking care of them during visits
  • Arrangements and organisation of office meetings and company events
  • Basic IT support (setup of laptops, shipment of equipment to home office staff, etc.)
  • Administrative and logistic support for the entire Frankfurt/Main office

Qualifications

  • Previous experience working in an Office Administrator position is advantageous
  • Excellent communication skills
  • Ability to build strong and trustworthy relationships
  • Affinity for problem‑solving; holistic analytical thinking
  • Process‑oriented mindset
  • Good time‑management skills
  • Fluency in German and basic English
  • Solid working knowledge of MS Office programs (Word, Excel, PowerPoint)
