Personal Assistant to Chief Executive Officer

An American-German entrepreneur relocating to Baden-Wuerttemberg with a private research institute, a wildlife conservation nonprofit, and a growing utility services company seeks a highly organized and resourceful Executive Personal Assistant to serve as the operational backbone of both household and professional life.

What you will do:

  • Serve as the primary point of contact between the principal and German-speaking professionals, government offices, service providers, and business contacts
  • Coordinate and oversee household staff including housekeeper, chef, groundskeeper, and service contractors
  • Manage complex calendars spanning business meetings, travel, personal appointments, and sanctuary operations
  • Handle all administrative correspondence in both German and English, including formal letters, email, scheduling, and document preparation
  • Liaise with Steuerberater, Rechtsanwalt, Notar, and other professional advisors on behalf of the principal
  • Navigate German bureaucracy - Anmeldung, permits, vehicle registration, insurance, property management, and regulatory compliance
  • Coordinate European business and personal travel including flights, Deutsche Bahn, hotels, and ground transportation
  • Manage vendor relationships, household budgets, and procurement for the estate
  • Support onboarding logistics for the family's relocation, including integration into the local community
  • Maintain strict confidentiality across all personal and business matters

What we are looking for:

  • Fluent bilingual proficiency in both German and English (written and spoken) is non-negotiable - you will operate seamlessly in both languages daily
  • Additional languages (French, Spanish, Russian) are a plus but not required
  • Resident of or willing to reside in the Baden-Baden / Rastatt / Freudenstadt / Rottweil corridor
  • Minimum 3 years of experience in a personal assistant, executive assistant, house manager, or estate management role - private household experience strongly preferred
  • Thorough familiarity with German administrative systems, legal processes, and business culture
  • Strong organizational skills with the ability to manage competing priorities across multiple entities
  • Valid driver's license (Fuehrerschein Klasse B)
  • High degree of discretion, professionalism, and personal integrity
  • Comfortable working independently with minimal supervision in a dynamic, evolving environment
  • Proficiency with standard office tools, calendar management, and digital communication platforms
