We are hiring a Senior Executive Assistant to support the Chief Market Operations Officer and his Steering Group, based in our Munich office. We are looking for someone with sharp judgment, radical ownership, and the initiative to anticipate needs before they arise. The difference between a good candidate and a great one is the mindset: not "I booked the flight" but "I made the trip as impactful as possible."
You will support a leadership team with one of the broadest scopes in the organisation, operating across economics, analytics, growth, and the global operations of the World project. The team is highly international, fast‑moving, and intellectually demanding — they think ahead, and they need an EA who does the same. Your support will have a direct and visible impact on the effectiveness of the executives you work with and on the success of the project overall.
You will be based full‑time in our Munich office, where you will play an active role in building a strong office community. We are a fast‑moving company with operations around the world. Thus, your organisational rigour, proactive communication, and ability to operate in a fast‑changing environment will matter every day.
This role works alongside a Chief of Staff who owns strategic projects and analysis — your focus is operational excellence and logistics. It is a role for someone who takes pride in that craft, thrives in a high‑intellect environment, and is energised by complexity rather than unsettled by it.
Calendar & Inbox Management
Own the calendars of the Chief Market Operations Officer and the Market Ops leadership team, making prioritisation calls across competing demands and time zones.
Manage the email inbox of the Chief Market Operations Officer, including drafting correspondences, flagging urgent items, and archiving resolved threads.
Develop a sharp sense for urgency and importance — knowing what to protect, what to defer, and what to decline.
Ensure executives maintain the right balance between work and personal time, including family, fitness, and other commitments.
Travel & Logistics
Coordinate all travel end‑to‑end: flights, accommodation, ground transport, visas, itineraries, and contingency planning.
Exercise judgment on convenience, always optimizing for executive effectiveness on the ground.
Manage expense reporting and reconciliation accurately and on time.
Source additional support as needed: thoughtful gestures for external partners and guests, assistance while travelling, or other resources the team requires.
Travel with the team when required.
Events & Meeting Cadence
Manage recurring cadences end‑to‑end.
Plan and execute team meetings, offsites, and trainings.
Be on‑site at key events to ensure flawless execution, including traveling when required.
Stakeholder Management
Liaise with internal and external stakeholders on behalf of the executives you support — with professionalism, discretion, and speed.
Manage visits to external partners’ offices.
Manage visits of external parties to the Munich office.
Operations & Process Improvement
Identify inefficiencies in the team's workflows and implement solutions proactively, including automations where appropriate.
You have proven EA experience at the senior level. You have 7+ years of experience supporting C‑suite or VP‑level executives, ideally in a technology company or high‑growth environment. You hold a university degree in any discipline; an analytical background is a plus.
You take ownership of outcomes, not just tasks. You don't just book the flight — you make the trip effective. You anticipate what is needed, act before being asked, and hold yourself to a high bar without needing to be managed.
You thrive in a fast‑moving, volatile environment. Priorities shift constantly and sometimes without notice. You adapt without losing composure, and you find ways to deliver even in stressful situations.
You are meticulous and reliable. Details don't slip through the cracks with you. Whether it's a visa deadline, a calendar conflict, or an expense report, you are the person others can fully rely on.
You communicate with clarity and professionalism. You are warm and personable with stakeholders at all levels, and you handle sensitive information with complete discretion. Your written and spoken English is excellent. German or other languages are a plus.
You are tooling‑literate and keen to automate. You are proficient with Google Workspace, Notion, Slack, and travel and expense platforms. Familiarity with AI tools or workflow automation (Zapier, Make) is a plus.
You are based in Munich and present in the office. This is a full‑time in‑office role. The team operates across global time zones and moves fast — you are comfortable with the reality that urgent requests don't only arrive between 9am and 5pm. You are willing to travel occasionally in support of key events.
