Senior Operations Project Management Officer (m/w/d) - PMO – Veterinary Healthcare Transformation

Role Overview

Reporting directly to the COO, this role is responsible for driving operational transformation and project execution across a distributed healthcare network. The Senior PMO will play a central role in transforming the organization into a high-performing, data-driven environment. Working closely with clinic teams, Area Managers, Regional Directors, and Finance, the role focuses on standardizing processes, implementing best practices, and delivering measurable improvements in working capital—without compromising patient care. This position combines project management, change management, and operational excellence. It requires strong analytical capabilities, deep understanding of operational KPIs, and the ability to translate strategy into execution across multiple locations. The role also strengthens field execution, enhances performance transparency, and ensures that strategic initiatives are effectively communicated, adopted, and implemented across all clinics.

Key Responsibilities

Project Management & Operational Excellence (approx. 60%)

  • Lead and support high-impact strategic projects across the organization and manage PMO activities
  • Establish and standardize project management methodologies, tools, and best practices
  • Drive cross-functional alignment of key initiatives, including monitoring, controlling, and steering execution
  • Lead multi-site optimization programs across 140+ clinics
  • Analyze operational data, build dashboards, and develop insights on key performance indicators (KPIs)
  • Evaluate current processes and identify optimization opportunities
  • Develop and manage the transformation roadmap, including milestones and KPIs
  • Coordinate stakeholders across clinics, regional leadership, and central functions
  • Collaborate with central departments to improve process execution
  • Track progress, risks, and benefits; provide regular reporting to senior leadership
  • Ensure alignment between operational initiatives and financial targets
  • Define and implement standard operating procedures (e.g., ordering processes, inventory levels, returns, expiry management)
  • Support clinics in the implementation of new processes and tools

Change Management & Leadership (approx. 40%)

  • Plan, coordinate, and drive organizational change initiatives in close alignment with the COO and Central Operations
  • Develop and manage a structured transformation and change roadmap
  • Ensure consistent communication and change narrative across all field teams
  • Coach Area Managers and Regional Directors on strategic initiatives and change adoption
  • Foster a strong culture of change and continuous improvement
  • Act as a bridge between Central Operations and field teams to ensure effective execution of operational programs
  • Implement structured, bi-directional feedback loops between clinics and central teams
  • Facilitate lessons‑learned sessions and continuous improvement cycles

What you bring

  • Degree in Business Administration, Healthcare Management, or a related field
  • 5+ years of experience in Project Management, PMO, or Operations (preferably in healthcare or multi-site environments)
  • Strong analytical skills and experience with KPIs and dashboards
  • Proven experience in transformation and change management initiatives
  • Excellent stakeholder management and communication skills
  • Ability to work in a fast‑paced, cross‑functional environment
