Bei Sudamin spielt ein Vertragsadministrator eine zentrale Rolle dabei, komplexe kommerzielle Vereinbarungen in klare, regelkonforme Prozesse zu überführen, die effiziente Abläufe, starke Partnerschaften und ein nachhaltiges Ressourcenmanagement ermöglichen.

In this role, you’ll collaborate closely with our colleagues at Combineering A/S in Denmark and partner organisations such as Gesellschaft für Abfallwirtschaft. You’ll be working in a truly international environment, involving frequent cross-border collaboration, knowledge sharing, and interaction with teams across multiple countries.

At Sudamin, a Contract Administrator plays a key role in turning complex commercial agreements into clear, compliant processes that enable efficient operations, strong partnerships, and sustainable resource management.

Key Responsibilities

Bearbeitung von Eingangsrechnungen:

• Prüfung und Erfassung von Eingangsrechnungen auf sachliche und rechnerische Richtigkeit.

Erstellung von Ausgangsrechnungen:

• Erstellung und Versand von Rechnungen gemäß vertraglicher Vereinbarungen.
• Pflege der zugehörigen Dokumentation und termingerechte Bearbeitung.

Erstellung interner Abrechnungen:

• Abgrenzungsrechnungen
• Reisekostenabrechungen

Dokumentation:

• Sorgfältige Führung aller relevanten Dokumente. Insbesondere Begleitscheine.
• Pflege des Dokumenten-Management-Systems (ECO-DMS)
• Dokumentation zur Nachverfolgung von Zahlungsflüssen und offenen Posten.
• Erfassung der offiziellen LME-Notierungen für Zn, Cu und Ni.
• Registerführung der innerdeutschen Transporte bzw. Lieferungen.

Stammdatenpflege:

• Pflege und Aktualisierung von Kunden-, Lieferanten- und Vertragsdaten in den relevanten Systemen.

Z4-Meldung bei der Bundesbank:

• Vorbereitung und fristgerechte Übermittlung der Z4-Meldungen gemäß den Anforderungen der Deutschen Bundesbank.

Überwachung des Zahlungsverkehrs:

• Erstellung und Abwicklung von Akkreditiven
• Monitoring von Zahlungseingängen und -ausgängen.
• Sicherstellung der Einhaltung von Zahlungsfristen und -vereinbarungen.
• Bereitstellung von Mahnungslisten und Klärung von Rückfragen.

Vorbereitende Buchhaltung:

• Zuarbeit für die Finanzbuchhaltung durch Erfassung und Übermittlung relevanter Unterlagen.
• Controlling
• Unterstützung bei der Erstellung von Monats- und Jahresabschlüssen.

Processing incoming invoices:

• Review and record incoming invoices for factual and numerical accuracy.

Preparation of outgoing invoices:

• Prepare and issue invoices in accordance with contractual agreements.
• Maintain related documentation and ensure timely processing.

Preparation of internal statements:

• Accruals
• Travel expense claims

Documentation:

• Maintain accurate and complete records of all relevant documents, particularly delivery notes.
• Manage the document management system (ECO-DMS).
• Document and track cash flows and outstanding items.
• Record official LME quotations for Zn, Cu, and Ni.
• Maintain registers of domestic German transports and deliveries.

Master data maintenance:

• Maintain and update customer, supplier, and contract data in relevant systems.

Z4 reporting to the German Bundesbank:

• Prepare and submit Z4 reports in a timely manner in accordance with Bundesbank requirements.

Monitoring of payment transactions:

• Prepare and process letters of credit.
• Monitor incoming and outgoing payments.
• Ensure compliance with payment terms and agreements.
• Provide dunning lists and clarify related queries.

Preliminary accounting:

• Support financial accounting by collecting and submitting relevant documents.
• Controlling activities
• Support the preparation of monthly and annual financial statements

Skills, Knowledge & Expertise

Voraussetzungen:

• Englisch in Wort und Schrift ist zwingend erforderlich, da ein Großteil der Verträge in englischer Sprache verfasst ist
• Andere Fremdsprachen sind hilfreich, aber nicht erforderlich
• Office 365 und Adobe Acrobat Pro sind wichtiger Bestandteil der Arbeit

A commercial (business/administrative) qualification is an advantage but not mandatory. We expect the following skills:

• Fluent English, both written and spoken, is essential, as a large proportion of contracts are in English
• Additional foreign languages are beneficial but not required
• Proficiency in Office 365 and Adobe Acrobat Pro is essential
