To embrace our promising and innovative future in the fertilizers part of HELM Crop Solutions, we are seeking a motivated Customer Service and Operations Coordinator (m/f/d) to strengthen our team in Hamburg:
Your Tasks:
- Ensure a smooth execution of inbound imports by aligning with the legal framework of purchase contracts, suppliers, chartering (if applicable), and procurement managers.
- Facilitate the seamless execution of outbound distribution in accordance with the legal framework of sales contracts, customers, chartering (if applicable), and sales managers.
- Oversee deliveries to West European and Baltic countries, specifically for the Benelux, LT, LV, and EE regions, ensuring efficient logistics operations and full compliance with relevant regulations.
- Anticipate and process the necessary steps for customs clearance to ensure compliance and efficiency.
- Coordinate operational interactions between procurement and sales departments, suppliers, customers, logistics service providers, warehouses, and chartering teams.
- Demonstrate a customer‑oriented mindset, providing a high level of service to our suppliers and final customers in terms of deliveries, documentation processing, anticipation, reporting, after‑sales and after‑purchase support and issue resolution.
- Constantly monitor stock levels to ensure accurate inbound and outbound figures for commercial teams, customers, and controlling departments.
- Keep track of targeted costs and provide timely advice whenever deviations appear – therefore, understand currency hedging.
- Issue the invoices, credit and debit memos, and SPOs (when applicable) to facilitate month‑end and year‑end closings.
- Handle external claims and support the preparation of insurance claims.
- Manage order processes and transport tracking, including vessel nominations, positions, truck and barge coordination as well as container bookings in Europe.
- Update and process business transactions within our respective ERP systems (SAP and/or TM).
- Comply with both internal and external regulations and processes, ensure alignment with Helm principles, quality standards, dangerous goods handling, customs, tax requirements, and Incoterms.
Your profile:
- You possess an apprenticeship in commerce, an international trade diploma, or an equivalent qualification, demonstrating a strong foundation in business and trade operations.
- You hold a diploma in logistics or business operations, or have completed equivalent training, equipping you with the expertise needed for efficient workflow management.
- You should have a minimum of 3‑5 years of experience in a relevant field, demonstrating strong expertise in logistics, supply chain management, or related operations.
- You are generally passionate about supply chain and logistics and can handle the monitoring of vessels/containers and the shipping supply chain.
- You can deal with dangerous goods, foreign trade regulations, Incoterms, and tax regulations, ensuring compliance and efficiency in all related processes.
- You are driven by curiosity, hence you question situations and challenge the processes, but can act as a solution provider with an open‑minded spirit at the same time.
- You are proficient in common IT applications such as the MS Office package, SAP and Salesforce.
- You are an excellent team player and can be characterized by a great level of collaboration.
- You are fluent in German and English both written and spoken.
