Head of Business Operations / AI Music Video Platform

Neural Frames is a leading AI music video generator, turning any song into a fully produced music video in minutes. We’re bootstrapped, profitable, and generating more than $6M in annualized revenue. Our ambition is to build a category-defining company that helps tens of millions of audio creators visualize and promote their work. Our next target is a $15M run rate.

We’ve reached this point with a small, ambitious team and very little organizational overhead. Now the company is growing quickly. We’re hiring across product, engineering and growth, operating an increasingly complex AI infrastructure, and making decisions that have consequences across the entire business.

We’re looking for our first Head of Business Operations to build the operating system for this next stage.

You’ll work directly with the founder and closely with our Founder’s Associate and functional leads. You’ll bring structure to financial planning, hiring, company priorities, decision-making and cross-functional execution, while protecting the speed and ownership that got us here.

This is not a role for someone who wants to introduce corporate processes from a distance. You’ll decide what structure we genuinely need, build it yourself, and remove anything that slows the team down. If this works, the founder spends substantially more time on product, customers and strategy, while the company becomes more predictable and better run.

How we measure success

Within your first month, you understand how Neural Frames makes money, how decisions currently get made, where the organization loses time, and which recurring responsibilities still depend on the founder and Founder’s Associate. Together, we agree on a precise list of work you will take over.

Within 90 days, management reporting and headcount planning are reliable, company priorities have clear owners, important obligations are documented, and cross-functional decisions consistently reach completion. You have removed at least 10 to 15 hours of recurring weekly work from the founder and Founder’s Associate without adding unnecessary meetings or approval layers.

Over the following year, Neural Frames should be able to operate as a substantially larger company without the founder acting as its coordination layer. Functional leads should have clear accountability, hiring and spending should follow explicit plans, and the founder should spend most of his time on product, customers, strategy and exceptional talent.

Tasks

• Build and run our company operating cadence: weekly leadership priorities, monthly business reviews, quarterly planning, clear decisions, owners and follow-through
• Create a dependable view of revenue, cash, margin, cloud costs, payroll and committed hiring, working with our accountants and external advisers where needed
• Own our rolling financial and headcount plan, including downside, base and upside scenarios
• Help design the organization as we grow: responsibilities, reporting lines, decision rights and interfaces between Product, Engineering, Growth, Design, Operations and Support
• Strengthen hiring and onboarding together with our Founder’s Associate and HR support, while keeping functional leaders accountable for the quality of their teams
• Improve how managers set expectations, communicate decisions and hold people accountable
• Own recurring vendor, contract, insurance, compliance and administrative coordination, and make sure important obligations never depend on somebody remembering them
• Lead difficult cross-functional initiatives that do not sit neatly inside one team
• Identify work that unnecessarily depends on the founder, transfer it to the right owner, and keep it there
• Give the founder honest, evidence-based input, even when the right answer is uncomfortable

Requirements

• You have significant experience in Business Operations, Strategy & Operations, Finance, an operational Chief of Staff role, or a similar position inside a fast-growing product company
• You have helped a company scale through a stage similar to ours, ideally from roughly 20 people toward 50 to 100, and personally built parts of the operating system
• You understand company finance. You can build and challenge budgets, headcount plans, cash scenarios and management reporting without hiding behind a Finance team
• You can point to specific examples where you removed substantial work from a founder, improved decision-making, controlled costs or made an organization meaningfully more effective
• You understand organization design and can clarify ownership without turning every problem into a reorganization
• You are highly hands-on. You are comfortable moving between a financial model, a difficult management conversation, a vendor negotiation and an unfinished operating process in the same day
• You have excellent judgment about process. You know when structure creates leverage and when it is merely bureaucracy
• You communicate clearly, close loops reliably and do not allow important decisions to disappear into meetings
• You have experience with German employment, corporate and compliance environments
• You can challenge an opinionated founder directly while maintaining trust
• You have high agency. When something important is unclear or broken, you take responsibility for getting it resolved
• Fluent in German and English.
• You are based in Berlin or ready to relocate, and can join us in the office at least four days per week

Bonus points:

• Experience in AI, SaaS, consumer subscriptions or another compute-heavy product business
• Experience negotiating material cloud, software or technology-provider contracts
• Experience working with international teams
• You have operated in both a highly professional organization and a scrappy startup, and understand what is worth copying from each and what is not
