HR Ops Specialist (m/f/d)

In this role you will own payroll and labour-law compliance end-to-end while maintaining a clean HiBob HRIS ecosystem. You will support a global HR Operations function, delivering accurate data, timely reports, and compliant processes across international hubs with a focus on Germany and Portugal. You’ll drive data-driven improvements, audits, and cross-border coordination to enable scalable, compliant people operations. • Maintain and optimize HRIS ecosystem (HiBob, Innform, Lawpilots) and data quality; deliver regular analytics and insights
• Own German or Portuguese payroll and related compliance, coordinating with Finance and external vendors
• Ensure compliance with local employment laws and global jurisdictions; conduct internal HR audits and manage risk
• Handle onboarding/offboarding and local HR duties, with quick turnaround for certificates, amendments, and approvals
• Lead continuous improvement initiatives in HR Ops, including policy updates and KPI reporting
• Support cross-border HR initiatives and provide timely responses to employee queries (Zendesk inbox)
• Collaborate with stakeholders on design, reporting and monitoring of HR programs

• 3+ years in HR Operations in a multi-country/global setting
• Hands-on experience with HRIS and payroll systems; familiarity with HiBob, Personio, Workday, SAP, Peoplesoft is a plus
• Strong knowledge of German or Portuguese law and payroll administration; understanding of European employment law
• Ability to lead HR projects, implement process improvements, and maintain audit-ready processes
• Fluency in English and German or Portuguese
• Excellent communication, analytical, and time management skills
