Overview

We are seeking a detail‑oriented and proactive Import/Export Specialist to support and manage all international trade activities within our logistics operations. The ideal candidate has strong knowledge of customs regulations, international shipping processes, and excels at coordinating with internal and external stakeholders. In addition, this role requires solid Project Management capabilities to lead and implement cross‑functional initiatives related to trade compliance, process optimization, and global logistics. This position is offered as a fixed‑term contract for a duration of 18 months and requires onsite presence of 80%‑100% at the company location in Heimstetten, near Munich.

Key Responsibilities

Import & Export Operations

  • Manage end‑to‑end import and export processes, including documentation, booking, shipment tracking, and customs clearance.
  • Ensure compliance with international trade laws, Incoterms, customs regulations (e.g., EU customs code, export controls), and internal company policies.
  • Prepare and verify necessary trade documents (commercial invoices, packing lists, certificates of origin, export declarations, etc.).
  • Coordinate with freight forwarders, carriers, brokers, and customs authorities to ensure timely and cost‑efficient shipments.
  • Resolve shipment delays, customs holds, discrepancies, and claims proactively.

Compliance & Documentation

  • Maintain accurate records of all import and export transactions as required by law and company standards.
  • Monitor regulatory updates and ensure ongoing compliance with export control regulations (e.g., dual‑use goods, sanctions).
  • Support internal and external audits and ensure readiness for compliance reviews.

Logistics & Coordination

  • Collaborate with internal departments (Purchasing, Finance, Warehouse) to ensure smooth operational flow.
  • Optimize transport costs, consolidate shipments, and evaluate logistics partners for performance and cost efficiency.
  • Support inventory accuracy and inbound/outbound flow optimization.

Project Management

  • Lead and participate in projects aimed at improving processes, systems, and compliance frameworks.
  • Drive process standardization and digitalization initiatives (e.g., EDI integration, customs automation, TMS enhancements).
  • Identify opportunities for continuous improvement and execute initiatives to enhance operational efficiency.

Qualifications

Professional Requirements

  • Completed commercial or logistics‑related vocational training or degree (e.g., Freight Forwarding, International Trade, Supply Chain, Business Administration).
  • Several years of experience in import/export operations or global logistics.
  • Strong understanding of Incoterms, customs procedures, export control, and international shipping documentation.
  • Experience in managing or contributing to cross‑functional projects.

Required Qualifications & Work Conditions

  • Excellent organizational skills and high attention to detail.
  • Strong communication and stakeholder management abilities.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Proficient with MS Office; experience with ERP systems (SAP) preferred.
  • Proficiency in German at B1 level or higher and fluency in English are required.
