Internal Communications Assistant (f/m/d)

Stellenbeschreibung:

Internal Communications Assistant (f/m/d)

  • Community-Manager/in

A Snapshot of Your Day

Are you looking for a role beyond traditional administrative support? As Our Internal Communications Assistant (f/m/d) you'll start each day as the operational backbone of our Digital Transformation and Operational Excellence team in the Substations organization: keeping communication initiatives on track, preparing executive‑level presentations, building and maintaining the communities and content that make our global teams feel informed, engaged, and connected. From managing our SharePoint AI Hub to scripting videos and launching campaigns, you'll have a lot of interesting topics to do. Beyond that you'll coordinate cross‑time‑zone schedules and manage meetings. If you thrive in a dynamic, international environment and love turning structure into momentum, this role was made for you.

How You’ll Make an Impact

  • Driving employee engagement and community by planning and executing awareness campaigns, organising Town Halls, creating employee‑facing content (e.g. posts, video scripts, short stories), and leading the setup and moderation of the Substations AI community on Microsoft Teams and Viva Engage.
  • Maintaining and developing SharePoint pages like the AI Hub, ensuring content such as use cases, training materials, and guidelines is structured clearly, current, and easy to find.
  • Organising best‑practice sharing sessions, use case workshops, and learning events that connect colleagues across the global substation network and help scale AI adoption.
  • Managing logistics for workshops, leadership interactions, and engagement initiatives from invitations and follow‑ups to on‑the‑day execution.
  • Managing calendars, coordinating meetings across time zones, preparing presentations and reports, and tracking actions and deliverables across initiatives.

What You Bring

  • Completed vocational training or university degree in business administration, office management, communications, or a related field, backed by several years of hands‑on experience as a team assistant supporting teams in a complex, international setting.
  • Confidence with M365 and digital collaboration tools such as Outlook, Teams, PowerPoint, and SharePoint, with experience in creating and publishing employee‑facing content, managing communities, and coordinating events end‑to‑end.
  • Strong stakeholder management skills, excellent intercultural communication, and a reliable, solution‑oriented way of working that teams can count on.
  • Fluency in English; German is a welcome plus. Occasional travel is part of the role.
