Workplace & Operations Manager
We are now looking for a Workplace & Operations Manager who can bring that work together and make it dependable.
This is a hands‑on role with substantial operational and administrative responsibility. You will own the practical infrastructure behind the company, from our Berlin workplace and suppliers to invoices, onboarding and access.
It is not a role where seniority means stepping away from invoices, suppliers or operational detail. Some processes are still informal, so you will need both the judgement to improve them and the discipline to run them consistently.
What the role is about
- Running the Berlin workplace: own facilities, suppliers and day‑to‑day office requirements, ensuring the workplace runs smoothly and presents professionally to employees, candidates, clients and visitors.
- Owning financial administration: manage invoices, approvals, company cards, receipts and reimbursements, following matters through until they are properly closed.
- Managing suppliers, contracts and records: maintain reliable records for suppliers, contracts, renewals and recurring payments so nothing lapses because no one was tracking it.
- Coordinating onboarding and People operations: handle the operational side of onboarding, offboarding, equipment and systems access, support recurring People processes and ensure joiners and leavers are managed smoothly.
- Fixing problems at the source: identify recurring workplace and operational issues, resolve them properly and prevent routine matters from repeatedly returning to leadership.
- Improving workplace operations: simplify recurring processes, keep operational documentation up to date and introduce practical automation where it reduces manual follow‑up, prevents errors or stops details from being missed.
- Supporting events and logistics: coordinate the practical side of selected company events, offsites and other operational logistics.
- Working across functions: partner closely with Finance, People and the Senior Executive Assistant so operational work is connected, clearly owned and followed through.
The role does not own accounting, People strategy or IT strategy. It owns the operational administration and coordination that allow those functions to work reliably.
What you bring
- Experience in workplace management, office operations, operations coordination, financial administration or a similarly hands‑on role.
- Comfort working with invoices, company cards, receipts, suppliers, contracts, onboarding, access and operational records.
- Experience supporting onboarding, employee administration or other practical People processes.
- A track record of improving processes rather than only following the ones already in place.
- Strong organisation, persistence and a practical instinct for getting things properly finished.
- The ability to work independently, resolve matters within your remit and elevate appropriately when needed.
- A collaborative approach and the ability to work effectively across Finance, People, leadership and external suppliers.
- Care, discretion and sound judgement when handling financial, personal and confidential information.
- Confidence using automation or workflow tools, with the instinct to recognise when a manual process should not remain manual.
- Professional fluency in German and English.
- Experience in consulting, technology, professional services or another founder‑led business would be particularly relevant.
